We're Moving to a New Support Platform – Starting June 1st!
We’re excited to let you know that starting June 1st, we’ll be transitioning to a new support system that will be available directly on our product websites – Amelia, wpDataTables, and Report Builder. In fact, the new support platform is already live for Amelia and wpDataTables, and we encourage you to reach out to us there.
You'll always be able to reach us through a widget in the bottom right corner of each website, where you can ask questions, report issues, or simply get assistance.
While we still do not offer live support, a new advanced, AI-powered assistant, trained on our documentation, use cases, and real conversations with our team, is there to help with basic to intermediate questions in no time.
We're doing our best to make this transition smooth and hassle-free. After June 1st, this current support website will redirect you to the new "Contact Us" pages on our product sites.
Thanks for your continued support and trust – we’re excited to bring you an even better support experience!
Hi,
My client's site is now online, and Amelia working almost fine, with the old booking form.
Notifications are all sent correctly, except the Appointment Confirmation for the client. My client noticed this, I tested and confirmed the error. The employee receives the confirmation, so the confirmation is indeed registered, and email sending is executed. Just the confirmation for the client is never sent.
Can you please check this?
Thank you!
Kind regards,
Ralf Longwitz
Hello there,
Thank you for reaching out to us.
Can you please give us little more information about your settings
We can only help you up to a point if you are using SMTP if you are using WP mail for example for any issues you will need to reach out to their support team.
Looking forward to your reply.
Kind Regards,
Marko Davidovic

Hello Marko,
Thanks for your reply. The checkmark is definitely set. It used to be set for both employee and client, now it is only set for the client. Employee doesn't need it.
Since every other mail is always sent correctly and only this one is not, how could the sending method or settings of SMTP or PHP be an issue?
If you need me to check something with those, I'll do it, just seems very unlikely to find the error there.
Thank you!
EDIT: I had a look, no SMTP used, so it's PHP, working fine for everything except this one notification.
Sorry, I just changed and cancelled appointments, and those weren't sent either. So for Customer, only Pending, i.e. the initial mail, is proven to be working. For Employee, they are all sent, including confirmation and cancellation.
Hello again,
We can help only if you are using SMTP if you are using WP mail which is this party plugin then you need to reach out to their support team and if you are using PHP mail you need to change this
We strongly recommend changing the mail service setting to SMTP or Mailgun because the email that is sent with PHP Mail generally gets flagged as spam by mail servers and also can take some time to send. See below how to configure SMTP and Mailgun mail services.
So please set the SMTP on your site
The most commonly used SMTP Ports are 465 and 587. Port 465 uses “SSL” as SMTP Secure, while port 587 uses “TLS” as SMTP Secure. Make sure to check what the correct SMTP settings are for your mailing provider.
Google SMTP (Gmail accounts):
From 30 May 2022, Google will no longer support the use of third-party apps or devices which ask you to sign in to your Google Account using only your username and password, so “Allow less secure apps” will be removed.
In order to continue using SMTP with Gmail, you will need to set up an App Password for Amelia. App Passwords can only be used with accounts that have 2-Step Verification turned on. Instructions about this can be found on Google’s Documentation, here.
For detailed set-up instructions, please take a look at this article on our official support platform.
Microsoft SMTP (outlook, hotmail, live, and office365 email accounts):
If you’re having issues using SMTP with your Microsoft account, please make sure to set up an App Password for Amelia. App Passwords can only be used with accounts that have 2-Step Verification turned on in the Security Basics section of your Microsoft account. Instructions about this can be found on Microsoft’s Documentation, here.
For detailed set-up instructions, please take a look at this article on our official support platform.
Hope this helps.
Should you have any further inquiries, we kindly request that you open separate tickets for each question and we will gladly help you there.
We wish you all the best and hope you have a wonderful day ahead.
Kind Regards,
Marko Davidovic

Hello Marko,
I still don't know why you think this would make a difference, but just for you I now set up SMTP, and it makes no difference.
Can you please check the actual issue?
Thank you!
Kind regards,
Ralf Longwitz
Hello Marko,
I believe I found the issue:
When an appointment is confirmed the normal way, by selecting "Confirmed" in the overview, then nothing is sent.
But when going into editing an appointment, changing the status there, then save, then all of the notifications are sent, including the confirmation for the client.
I hope you can fix this soon.
Thank you!
Kind regards,
Ralf Longwitz
Hello again,
It was important to switch from PHP Mail to SMTP, as using PHP Mail is not recommended, as you can see in our documentation, it often results in users not receiving notifications. SMTP is always the recommended method to ensure everything works properly.
With your additional explanation, we now fully understand the issue, and it turns out this is a bug. Our development team is already working on it, and it should be resolved in one of the upcoming updates — hopefully even in the next one.
We do apologize for the inconvenience.
Should you have any further inquiries, we kindly ask that you open separate tickets for each question, and we’ll be happy to assist you.
Wishing you all the best and a wonderful day ahead.
Kind regards,
Marko Davidovic
