Hi,
My client's site is now online, and Amelia working almost fine, with the old booking form.
Notifications are all sent correctly, except the Appointment Confirmation for the client. My client noticed this, I tested and confirmed the error. The employee receives the confirmation, so the confirmation is indeed registered, and email sending is executed. Just the confirmation for the client is never sent.
Can you please check this?
Thank you!
Kind regards,
Ralf Longwitz

Hello Marko,
Thanks for your reply. The checkmark is definitely set. It used to be set for both employee and client, now it is only set for the client. Employee doesn't need it.
Since every other mail is always sent correctly and only this one is not, how could the sending method or settings of SMTP or PHP be an issue?
If you need me to check something with those, I'll do it, just seems very unlikely to find the error there.
Thank you!
EDIT: I had a look, no SMTP used, so it's PHP, working fine for everything except this one notification.
Sorry, I just changed and cancelled appointments, and those weren't sent either. So for Customer, only Pending, i.e. the initial mail, is proven to be working. For Employee, they are all sent, including confirmation and cancellation.
Hello again,
We can help only if you are using SMTP if you are using WP mail which is this party plugin then you need to reach out to their support team and if you are using PHP mail you need to change this
We strongly recommend changing the mail service setting to SMTP or Mailgun because the email that is sent with PHP Mail generally gets flagged as spam by mail servers and also can take some time to send. See below how to configure SMTP and Mailgun mail services.
So please set the SMTP on your site
The most commonly used SMTP Ports are 465 and 587. Port 465 uses “SSL” as SMTP Secure, while port 587 uses “TLS” as SMTP Secure. Make sure to check what the correct SMTP settings are for your mailing provider.
Google SMTP (Gmail accounts):
From 30 May 2022, Google will no longer support the use of third-party apps or devices which ask you to sign in to your Google Account using only your username and password, so “Allow less secure apps” will be removed.
In order to continue using SMTP with Gmail, you will need to set up an App Password for Amelia. App Passwords can only be used with accounts that have 2-Step Verification turned on. Instructions about this can be found on Google’s Documentation, here.
For detailed set-up instructions, please take a look at this article on our official support platform.
Microsoft SMTP (outlook, hotmail, live, and office365 email accounts):
If you’re having issues using SMTP with your Microsoft account, please make sure to set up an App Password for Amelia. App Passwords can only be used with accounts that have 2-Step Verification turned on in the Security Basics section of your Microsoft account. Instructions about this can be found on Microsoft’s Documentation, here.
For detailed set-up instructions, please take a look at this article on our official support platform.
Hope this helps.
Should you have any further inquiries, we kindly request that you open separate tickets for each question and we will gladly help you there.
We wish you all the best and hope you have a wonderful day ahead.
Kind Regards,
Marko Davidovic

Hello Marko,
I still don't know why you think this would make a difference, but just for you I now set up SMTP, and it makes no difference.
Can you please check the actual issue?
Thank you!
Kind regards,
Ralf Longwitz
Hello Marko,
I believe I found the issue:
When an appointment is confirmed the normal way, by selecting "Confirmed" in the overview, then nothing is sent.
But when going into editing an appointment, changing the status there, then save, then all of the notifications are sent, including the confirmation for the client.
I hope you can fix this soon.
Thank you!
Kind regards,
Ralf Longwitz
Hello again,
It was important to switch from PHP Mail to SMTP, as using PHP Mail is not recommended, as you can see in our documentation, it often results in users not receiving notifications. SMTP is always the recommended method to ensure everything works properly.
With your additional explanation, we now fully understand the issue, and it turns out this is a bug. Our development team is already working on it, and it should be resolved in one of the upcoming updates — hopefully even in the next one.
We do apologize for the inconvenience.
Should you have any further inquiries, we kindly ask that you open separate tickets for each question, and we’ll be happy to assist you.
Wishing you all the best and a wonderful day ahead.

Today I installed the latest update, and now the confirmation process is completely broken. Not only does the confirmation in the overview still not send a confirmation notification.
When I now go into Edit and confirm the appointment there (after trying in the overview), it will delete time and date of the appointment. Entering a time will then reset the location.
Like that, confirmations are not really possible anymore.
Where can I download a previous version of Amelia?
How is this a new issue or question? It is the same as before, it only got worse. And the latest version is what I already have, I need to revert to the previous one. What should I send a screenshot of?
Have you tested it yourself? Do confirmations work for you?
I went through the update process again, with your file, and that totally broke Amelia, all Amelia pages empty. So I completely removed Amelia and reinstalled. Now I'm back at earlier today, see below.
Here's a video of the failing confirmation process:
https://share.zight.com/p9uyr7YL
I first confirmed in the overview, which will not send a confirmation message. The video starts when I set to "pending" again, then try to confirm in the appointment editor.
What you can also see there, is that the original date of the appointment, 30.4., is not available anymore.
And here's a screenshot of the console when loading the appointment overview:

Hello Ralf,
Thank you for the update on this.
As Marko is out of the office, I will fill in for him.
I will take a look at this and let you know as soon as possible.

Thank you Uros. I would not mind waiting a while, for a fix, I am glad you're working on it, just my client is losing it, just today: "It's really stupid and unsatisfactory with this agenda programme. Is there anything else that works?"
I asked for a few days of patience.
If I could just have a copy of the previous version of Amelia, please, that only had one minor issue that we were able to work around.
Hello Ralf,
Thank you for the update on this.
Please provide me a temporary WP-admin (administrator) user for your site where this happens, so we could log in and take a look ‘from the inside’ as that’s the most efficient way to see and resolve the issue.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.
You can write credentials here just check PRIVATE Reply so nobody can see them except us.

I tried again just now, and date and time are again deleted when trying to confirm in the edit form. So there is absolutely no way to confirm an appointment.
I investigated further and found when time and date are deleted and when they are not:
As an employee I am set to one location. In Work Hours, I have hours set for various locations. Now I found, if the booking is for a location that I am not set to, then time/date are deleted, otherwise not.
For some of the Work Hours, locations are set, for others not, because for some dates it can be booked for all locations. These dates, where no location is set, are shown as available for all locations in the booking calendar. But when they are booked, they cannot be confirmed, time/date are deleted.
When setting a location for all Work Hours, then appopintments can only be booked for these locations, and time/date are not deleted.
So there are cases, where confirmations do work (via edit form only), and others where it does not.
Please fix this soon. Thank you.
Hi Ralf,
Uros is out of office, i will jump in on this one, apologies for the delayed answer. As my colleagues suggested, you should use SMTP protocol for sending emails. Currently, you have PHP configuration which is not recommended since the email might end up in the spam folder, or they are not sent at all.
You can try out these parameters and let me know if it works.
A Google SMTP example:
You would need to configure the Google username and password. You can find more information on this link.
Looking forward to hearing from you.
Kind Regards,
Stefan Petrov

Hi Stefan,
Thanks for coming in. Why are you going on about SMTP? Nothing about this issue has anything at all to do with SMPT. I thought that had been clear for a while now. I actually do have SMTP set up, and as expected, it makes no difference. If SMTP mattered, then no emails would be sent. But it is just this one type of notification that is *never* sent.
Please, nothing more about SMTP, I'd very much appreciate if you looked at the real issue.
Thank you.
Ralf
Hi Ralf,
The SMTP procotol is used in 99 percent of the configuration and it has been tested numerous times, we are using it on daily basic for testing purpose and troubleshooting. The SMTP must be configured directly in Amelia (this is recommended setup), however, it can configured through third party SMTP plugin. In this case, you should switch to WP mail in Amelia, so third party SMTP plus WP mail in Amelia and the notifications will work.
Kind Regards,
Stefan Petrov

Hi Stefan,
Please, I have already told you that SMTP is NOT the issue. Notifications DO work, with or without SMTP. Just one is not sent under the conditions that I have already described before.
PLEASE look at the real issue, not SMTP:
Thanks,Ralf
Hi Ralf,
The PHP mail protocol is not stable and generally not recommended for reliable email delivery.
Unfortunately, the access link you provided no longer works. If you can share admin access again, I’ll be happy to test the notifications and verify that the notification messages are functioning correctly.
Kind Regards,
Stefan Petrov

I reactivated the link, it runs out after a week:

There was an update available which I applied.
For testing, please reactivate me as a therapist, so my client does not receive any mails.
Thank you!

Hi Ralf,
Thanks again for the login. To prove the email notification configuration, I've performed an extensive test. First of all, I've disabled the SMTP plugin and entered the SMTP configuration directly into Amelia. The test email was successful, as per the screenshot
I went further to test the appointment notifications, and I've booked a test appointment. This is a test appointment created.
When the status is approved, the email notification is sent to the customer.
If i change the status to pending, this is also working
You've disabled the notification template "appointment approved" for the employee and the option "notify customers" was disabled inthe Appointment window
Please note that you can still use SMTP settings through third-party SMTP plugin, however, in that case, you need to change the settings to WP mail in Amelia (not PHP).
I hope it helps.
Kind Regards,
Stefan Petrov

Hi Stefan,
Thanks for testing email sending. However, how I have been trying to convey many times since more than a month in many messages: Sending emails is not an issue. Not at all. It has always worked. With SMTP or without it. Even when "Notify client" is not checked, the notification is sent anyway - from the edit popup.
E-mails always arrive, when they are sent from Amelia.
Whether SMTP is set up in Amelia or with a plugin. Or with phpmailer and no SMTP. The sending always worked. I don't know how to make this any clearer.
The only thing that does not work, and I have tested it once more just now, is what I now recorded for you:
https://share.zight.com/JruYywqL
When a date is confirmed in the overview, in the "Status:" column. Then Amelia does not send a notification. It is not that sending does not work, Amelia does not even try to send an email.
If the status is changed otherwise, for example if a date is cancelled, then a notification is sent. Only when a date is confirmed, then no confirmation is sent.
Let me repeat this:
When a date is confirmed in the overview, in the "Status:" column. Then Amelia does not send a notification. It is not that sending does not work, Amelia does not even try to send an email.
Can you please try that?
Thank you
Ralf
Hi Ralf,
Now i see what you are referring to. Unfortunatelly, i wasn't able to reproduce the issue on our local host as the notifications are sent even when the status is changed in the Dashboard page. So, I've tried to change the status again in the Dashboard while having SMTP settings configured directly in Amelia. While the notification to the customer is sent, it looks like the notification to an employee is missing. For example, my test customer is registered under [email protected].
The default appointment status is set to pending, as per the screenshot
If I change the status to approved on the Dashboard page. Is this the case on your side?
An email to the customer is sent, however, an email to an employee is missing.
Kind Regards,
Stefan Petrov
