Waiting List Participants Confirmed Automatically

    Hello,

I’m really glad to see the waiting list feature has been added. Great work!

That said, I haven’t implemented it yet because confirming participants manually doesn’t really work for us. We handle hundreds of bookings every week, so manually approving waiting list entries just isn’t feasible.

Right now, the workaround I’m considering is to set the event capacity to its actual limit (in our case, 30 participants), and then confirm waitlisted participants manually in the evening when cancellations come in.

But I need to clarify one thing:

If I configure the event to "close once it reaches full capacity" (with the "Close Event after certain minimum is reached" feature), will that block newly freed-up spots from being booked again? Will the event remain closed, even when spots get cancelled? In other words, will a cancellation trigger an automatic opening for public booking?

It’s important because people who sign up for the waiting list expect to be contacted if a spot opens. They’re not refreshing the event page looking for last-minute openings because they trust in them getting the spots once they open up. If someone else can grab a spot before I’ve had the chance to confirm someone from the waiting list, it defeats the purpose of having one.

    So:

    1. What’s the best current workaround to make this process manageable?

    2. More importantly. Is there a plan to automate the waiting list confirmation in the near future? If so, is there a roadmap or estimated release date? An automated solution would make a huge difference for us.

Thanks again for the continued improvements. Looking forward to your thoughts.

    Best regards,
    Gerhard

    Hello Gerhard,

Thank you for your kind words and for taking the time to share detailed feedback — we truly appreciate it!

    To address your questions:

    1. When the "Close Event after certain minimum is reached" setting is enabled and the event reaches full capacity, the event will remain closed even if a participant cancels. This means that newly freed-up spots will not become available for public booking automatically. The event won’t reopen on its own, so you can safely use this approach if you prefer to manually manage participants from the waiting list, as no one will be able to bypass the list by booking an open spot directly.

    2. Regarding the automation of waiting list confirmations, there is currently no ETA on when or if this functionality will be introduced. However, we completely understand how important it is in high-volume use cases like yours, and your feedback has been passed along to our management and development teams for consideration in future updates.

We’re always working on improvements, and input like yours helps shape our roadmap.

If you have any additional questions or ideas, feel free to share them!

    Kind Regards,

    Uros Jovanovic
