    I’m encountering an issue when using the waiting list feature in the Amelia plugin. After approving guests from the waiting list, the invoices they receive do not contain a payment link. Instead, they receive a note stating "on-site" as the payment method.

    When booking events without the waiting list, payments are processed online normally, and the invoices include the appropriate payment link. I would like to ensure that guests approved from the waiting list also receive invoices with a functional payment link for online payment.

    Could you please advise on how to resolve this issue or let me know if there is a setting I may have missed? Your assistance would be greatly appreciated.

    Just to confirm, are you referring to the invoice being sent to the customer after each booking, whether it’s an appointment or an event booking?

    However, it doesn’t contain a payment link, regardless of whether the booking was made via the waiting list or not. Are you referring to this same invoice?

    Dear Stefan,

    Thank you for your response.

    To clarify, my concern is specifically related to the scenario when we approve attendees from the waiting list. After approval, the attendees receive an invoice, but it contains no instructions or payment link for completing their payment online.

    Currently, I have three attendees who were approved from the waiting list, but they have not made the payment. I suspect this may be because they did not receive clear instructions on how to proceed with the payment. My worry is that these approved attendees might assume they are confirmed and simply show up at the event, unaware that payment is still required.

    Could you please advise on how we can ensure that approved attendees receive an invoice with a payment link or clear instructions on how to complete their payment online? This would be greatly helpful in preventing confusion and ensuring a smoother payment process.

    Hi Walid,

    When approving attendees manually from the backend, Amelia will automatically assume that the payment method is "on site." However, you can add the payment link placeholder to the notification template so that when the notification is sent, the customer will also receive a payment link. Please note that the payment link only works for online payment methods.

    For example, you can configure the default status to "pending" and then add the payment link placeholder to the "approved" notification template. Once you approve the appointment, the payment link will be sent to the customer. This is typically configured in the "pending" appointment template, as it makes sense to have the customer pay first before the appointment is approved.
