I have a problem regarding appointments and payments. Specifically payments not made.
We have the setting of '1st appointment needs to be paid ( by Stripe ) on time of booking. All other payments need to be made manually before their appointment. Trust required!
This is our problem.
If a customer books an appointment and makes it a recurring appointment ( i.e. every Wednesday at 13:00pm for three weeks ) and they attend all those three appointments over the three weeks, but they failed to pay the last appointment and that date has now passed. There is absolutely NO WAY for them to pay!
The Customer Panel allows them to pay all future unpaid appointments but past appointments just say 'Approved' and there is no way to pay. It doesn't even say if it was paid or not, I have to check the invoices for that.
So, I go to the 'Finance > Invoices' and see the unpaid appointment and click the send invoice button. All that does though is send an email saying how much you owe. It does not have that payment link nor does it even contain account details if they wanted to pay.
Is this correct or am I doing something wrong?
What I am having to do it manually create an invoice directly from Stripe and send that to the customer and hope they pay now that the appointment that they attended has passed.
Please can you help me solve this going forward?
Is there a way I can send emails from the Amelia Booking system directly to a customer with the payment link?
I hope you're doing well. Apologies for the delayed response.
While we test this locally, there is an option to manually send an email with the payment link. This involves creating an appointment manually from the backend for a service that is assigned to a template with the payment link included. Essentially, even changing the appointment status to "Approved" would trigger the notification email based on the "Appointment Approved" template.
Please allow us some time to test this further. I’ll keep you updated.
Unfortunately your reply doesn't make much sense to me.
How can I 'create an appointment manually from the backend' for a service that is already booked ( no spaces - can't be booked ) by the customer who needs to pay?
Also, all our bookings are set to 'Approved' as default and so your other suggestion doesn't work either.
What I need, and I'm sure everyone else needs too, is for the 'Pay Now' & 'Paid' buttons to still appear and be visible on past dates in the customer panel. There is no need for them to be removed / not be there as it adds confusion. For example appointments just say 'Approved' even though they haven't been paid! Surely this can be achieved even with a code snippet?
Apologies for the misunderstanding—I wasn’t referring to the already booked appointment. I meant the option of sending the email notification template with the payment link directly to the customer from the backend. However, this doesn't apply to appointments that have already been booked.
I’m still troubleshooting this with the developers and will update you as soon as I have more details. Thanks again for your patience and understanding.
Please provide me a temporary WP-admin (administrator) user for your site where this happens, so we can log in and take a look ‘from the inside’ as that’s the most efficient way to see and resolve the issue.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.
You can write credentials here just check PRIVATE Reply so nobody can see them except us.
Thank you for your update and for providing the login details.
I appreciate your suggestion regarding adding the 'Paid' and 'Pay Now' buttons to past appointments. Currently, the design of the system only allows future appointments to be marked as payable. However, we will pass this feedback along to our development team for consideration in future updates.
Let me know if you need any further assistance or have any other questions!
Unfortunately, currently, Amelia does not support the option to collect payment after an appointment has passed. Payment must be processed before the appointment is scheduled.
The only option for this to be done is on-site or via an external payment method outside of Amelia.
Yes, it seems like the "on-site" option might not be suitable for your case. If you go ahead with the manual Stripe invoice workaround, please let me know if it works for you or if you need any further assistance.

Hi Uroš,
Thanks for your reply.
Whilst I appreciate you relaying my suggestion for a future feature update, this doesn't help my current predicament.
How do I get payment from a customer after an appointment has past?
Thanks

Hi Uroš,
Thanks for your reply.
Isn't that a slight oversight? An 'on-site' option isn't possible for us because there's nobody on-site to take payment.
Looks like a manual Stripe invoice is required then. Or I'll have to get creative!
Kind regards
Colin
