I have a critical issue: I am the only employee and I offer services on-site and online. This implies that on days I work, customers should be able to choose an on-site service or an online service.
Example: I work on Tuesdays, 9:30am to 10:30pm. During those hours I am available for massages (on-site) or consulting sessions (online).
My setup:
I created 2 locations, one on-site and one online
I created my massage service and my consulting service and assigned both to me as an employee
I created my employee profile for which I set my work hours on Tuesdays and selected all services and both locations.
My issue:
I have no way to limit that during my work hours the consulting sessions are only online and the massage sessions are on-site. Therefore, once my client selects for example the massage service, on the reservation form, they then have the option to select either locations which is not logical, the online location should not be selectable for the massage service.
This is really critical for me and I have no idea how to go around it. Can you please help me?
Thank you for reaching out to us. We understand the importance of this issue and how it impacts your service setup. We have noted the problem regarding the location selection for services, and I want to assure you that it will be resolved in a future update of Amelia.
We truly appreciate your patience and understanding as we work towards improving the plugin to better meet your needs. If you have any further questions or concerns in the meantime, feel free to reach out.
Thank you for your reply. Can you give me a expected timeline because this is urgent for me. Is it a feature considered must have and is being worked on as we speak or is it a feature more in the nice to have with no expected release date ?
Thank you for following up. I understand the urgency of this for you. I’m happy to inform you that this feature is considered important and is planned for inclusion in one of the next few updates.
While I can’t provide an exact release date at this moment, please rest assured that it is actively being worked on. I recommend keeping an eye on upcoming update announcements, and I’ll also let you know as soon as there’s any concrete news.
Thank you for your reply. I'm happy to hear it's actively being worked on and really looking forward for that update, I think it will be a much needed improvement to an already great service!
I do have a question in the meantime, because as a workaround until the update, I plan on setting up 2 employees, one for onsite and the other online, the only issue is they cannot both have a booking at the same time. Is there a way to have both employees share the same amelia calendar that way a booking with one employee blocks the slot for the other employee?
To ensure that a booking with one employee blocks the slot for the other, you have a couple of options:
Resource Booking – You can set up a shared resource in Amelia, so that when one employee is booked, the slot becomes unavailable for the other. You can find more details on how to do this here: Resource Booking in Amelia.
Google Calendar Sync – Another approach is to connect both employees to the same Google Calendar. This way, when one employee gets a booking, the time slot is blocked for the other as well.
Let me know if you need further guidance on setting this up!
I just tried the Resource Booking but it doesn't take into consideration the buffer time for the services. It properly blocks the service length time slot but without the buffer time before and after. Am I missing something in setting it up?
Could you please share a screen recording of the issue? This will help me better understand what’s happening with the buffer time setup and assist you more effectively.
I'll explain the scenario because I'm not sure how to show it as a recording. Let me know if it is unclear.
For my massage service I have set a buffer time of 30 min prior and 15 min afterward, to give me time to setup and prepare everything in between appointments.
I created the resource of 'a person' that I have set as shared amongst the two employees.
A client books an appointment for a one-hour massage on the 31st from 2pm to 3pm.
Another client comes to book a one-hour consulting appointment but is able to book it from 1pm to 2pm, however since my massage service has a buffer of 30 min prior, my calendar should only have the option from 12:30 to 1:30.
Thank you for the explanation; it's much clearer now.
To resolve this, you will need to enable the "Include service buffer time in time slots" option on the Amelia > Settings > General page. This will ensure that your buffer times are taken into account when clients are booking appointments.
Let me know if that helps or if you need further assistance!
That does not fix it. I just tried it. Booked a massage from 11 to 12. Then went to book a consulting appointment and had the option to book at 12 and not the expected 12:15.
Please provide me a temporary WP-admin (administrator) user for your site where this happens, so we could log in and take a look ‘from the inside’ as that’s the most efficient way to see and resolve the issue.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.
You can write credentials here just check PRIVATE Reply so nobody can see them except us.
Thank you for your reply. I saw that you changed to include the buffer time in my calendar but that is not at all the behavior I want. I'd like my calendar event to contain only the time of the session without the buffer. I take it that it doesn't work with the ressource which is why you resorted to this solution ?
Currently, including buffer time is the only solution available to achieve this behavior. If you'd prefer to not include the buffer in the calendar, I understand this might not be ideal, but unfortunately, it’s the best option at the moment.
I understand but I am curious as to why using the ressource, the back end is not able to add the buffer? It can verify the employee's agenda in the database and see the buffer associated to the booked service, can it not?
