I have a client who uses Amelia (and is otherwise super satisfied, but has a problem). She has a baby spa and has 3 options with it. Single booking for 1 baby per session. Booking for 2 baby per session and booking for 3 babies.
Now she regularly has people book a single appointment and then later want to move the appointment to another date/time. If then is moved to a time that bath 1 is full, she would like to move it to the 2nd for bath 1 or possibly to bath 2 (but then bath 1 must no longer be bookable), below client explains the problem herself.
Problem 1: When people want to reschedule an appointment, and they want to reschedule (duplicate) to a date and time where a baby is already scheduled on bath 1, they can't. With the consequence that I have to appointment and have to go book it myself in their name. This is a lot of work. If I would choose bath 2 (I don't know if that option is there), then bath 1 remains bookable through the website. With the consequence that there are then 3 babies in a session. And that's not possible either.
Problem 2: If I duplicate such an appointment. To another date and
Time and delete their normal appointment. Then the validity of the
gift certificate (discount code) they used is automatically re
upgraded. As a result, people can redeem it one more time.
deploy.
So my wish is also that I can simply reschedule an appointment for clients
to a free spot (even if there is already 1 babay there, because we
always have room for 2 babies). And that the gift certificate goes along with that,so it still loses its validity.
This issue occurs because the employee assigned to the particular timeslot is already busy during that time. Since no other employees are assigned to the same timeslot, it is unavailable for booking. As an admin, you won't be able to reschedule it either, as Amelia recognizes this.
However, if you enable the "Allow admin to book at any time" option in the User Role settings, you will be able to book an appointment for any time and date, regardless of the employee's work hours configuration.
For the frontend, if you configure the service's maximum capacity to more than 2 and enable the "Allow booking below minimum capacity" option in the Appointment settings, your customers will be able to book the same timeslot multiple times until the maximum capacity is reached.
Thank you for the ticket, we have now turned on that option, but still it is not working.
The scenario: Customer has an appointment scheduled for today with employee bath 1 (bath 1 can take 2 per booking). Customer calls and wants to reschedule it for tomorrow. Then the admin of the site goes to the backend and wants to move it, but then the system indicates that it cannot be moved to the relevant time because there is already a booking there. Then the admin can put it on bath 2, but then a customer on the site can just book on bath 1 (the 2nd booking for that time) and then suddenly there are 3 kids and that is not the intention).
Now the question: how can an admin change a booking to a date/time where there is already a booking with an employee. Can you show this with screenshots?
Please provide me a temporary WP-admin (administrator) user for your site where this happens, so we could log in and take a look ‘from the inside’ as that’s the most efficient way to see and resolve the issue.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.

Thanks for the access. I was actually referring to this option in the User Role settings
This will allow an admin to book the appointment at any time, no matter the employee work hours. It will override the work hours and you will be able to book at any time. However, you also need to configure the customer panel and employee panel URL, because Amelia wont save the changes without these URL's
To configure the customer panel / employee panel, you can use these instructions - link.
Thank you, this is now set, but I also now see something that could be problem.
User Tanja has administrator status in Wordpress. User personeel has the status Amelia Manager. Are they both allowed to send appointments now or only user personeel?
If so, how should I set this up properly, since user Tanja should be both manager in Amelia and administrator in Wordpress?
And if I set it to Amelia Manager, then they are not allowed anything else in Wordpress?
Unfortunately, it’s not possible to assign multiple user roles to the same WordPress user. A WP user can only have one user role at a time. This limitation exists because each user role has a specific set of permissions, and assigning multiple roles to a single user could create conflicts.
For instance, if a WP user were assigned both the Admin and Customer roles, they would have access to backend settings and permissions as an Admin, which you likely wouldn’t want for a Customer.
