I was wondering how i can send an automatic message triggered by the payment status. We ask our customers to pay via wire transfer and we change the payments status manually in the Amelia portal but i wanted to send an automated email if we change the status from unpaid to paid but there is no possibility to trigger the automated message if the status changes (or i can find it). Can you help me to be able to send this automated message?

I need to update the amelia plugin to the latest version but I'm a littlebit aftraid that if i remove the complete plugin to install the new one that i will lose the exhisting customer info and events... can you assure me that if i deactivate and remove the plugin to install the new version that the old info will still be there?

Can i make a backup somehow to be sure?

(i made a backup with extra plugin in the past, but i lost my events anyway so since we have some good data now we need to be safe :) )

    Thank you!

    Johan

    Hello Johan,

    Thank you for reaching out!

    1. Automated Message Trigger on Payment Status Change
Currently, Amelia doesn't have a built-in option to trigger an automated message based on the payment status change. However, you can achieve this by customizing the email notifications. If you need further assistance on how to set this up, I'd be happy to guide you through the process.

    2. Updating Amelia Plugin Without Losing Data
You can safely update the Amelia plugin without losing any customer information or events. The plugin updates are designed to preserve your data. However, to ensure the highest level of security, I recommend doing the following:

      • Backup Your Site: Before updating, create a full backup of your website, including the database. This will allow you to restore everything if needed. You can use a backup plugin for this purpose, which will ensure your content and database are safe.
      • Test on Staging Site: If you're concerned, you could update the plugin on a staging site first to test everything before doing it on the live site.
    3. Backup Process
Since you mentioned losing data in the past, I strongly recommend using a reliable backup solution for future peace of mind. After performing the backup, you can restore it in case of any issues during the update.

Please feel free to reach out if you need any assistance with the backup process or setting up the automated emails.

    Kind Regards,

main thing is that we could send a confirmation based on the data we have from the amelia plugin.

So we have a notification message ready in our portal, but i want to know how i can trigger the wp to send out this notification when the customer has paid us. Or if i can send it manually if i put f.e. a symbol behind their name... whatever works to send out a confirmation is fine :)

beside that i tried to send the invoice made by amelia but there is no attachement in the mail we get...

and the layout from the invoice is really basic and has no VAT mentioned. Can we adapt this template somehow?

    Thank you for your help!

    Hello Johan,

    Thank you for your message!

    1. Sending Confirmation Notifications

Amelia does not currently support sending manual notifications from within the plugin based on custom markers (e.g., symbols behind a customer’s name). However, you could use the following approaches:

    • Change Appointment Status Workflow:
Set the default appointment status to Pending. When the customer completes payment (via a payment link), the status automatically switches to Approved, which triggers the confirmation notification.

    • Manual Notifications Outside Amelia:
If you need complete control, you can manage confirmations directly from your portal and send emails manually.

    2. Invoice Issues

    • Missing Attachments:
If the attachment is still not being sent, kindly test this again after clearing your site cache or reinstalling the plugin.

    • Invoice Customization:
At this time, Amelia does not support customization of the invoice layout or the inclusion of VAT fields directly.

Let me know if you need further assistance!
