I know that it is possible with a booking to add people to the booking which is great. Is it however also possible to book for 4 people and add 4 employees to that booking? Since as a paragliding company each customer needs 1 pilot.
If this is not possible it is better for us to not put every pilot under their name, but maybe just add one employee "Tandem pilot" and allow people to add up to 5 others to come along so we organise 5 more pilots in an anonymous way.
The very best for us would be to have it such that for each time slot it says somewhere "X open places"... so if it says 4 ... and someone books for 3.... the presentation for that timeslot now says 1 free.
I see work arounds for these issues but still I ask you before I start implementing those.
Unfortunatelly, this is not possible, since you can only book one single employee. There is no option to book the appointment for multiple employees on one booking, however, there is an option to book multiple appointments with one booking. This is possible with "cart" feature, you can find more information on this link.
That could be the solution we are looking for .... but immediately I see that something goes wrong. I book one employee on one location at one time and then want to book a second employee on the same location at the same time. But the system doesnt allow me the same time.... even though the second pilot is available at that time. That doesnt make sense does it?
Hi Stefan, I think I know the "problem": is that you dont allow the same customer to book 2 appointments on the same time. Even though this customer might want to book a tandem flight together with their spouse. So I understand how you set up your system but it's not practical in our case.
I just tested if making a package of 2 services could be the solution for us. And it isn't.
So the only remaining solution I see is to create an anonymous "Multiple pilots" employee who allows for more than one person on a booking. I will test that now. I will also look at events of there is a way in which I can use that.
Is there any way to correspond directly with your developer team to see if some simple improvements to your system can be made?
I just added an employee called "Multiple Pilots Any location" and this finally solves the problem. If the customer chooses this option then they can add up to X people to their booking and put them on one time slot.
The only thing that's missing for us for the future is: imagine we have 4 pilots on a given day. Someone books for 3. Then that timeslot should have a remaining quantity of 1. Yet with the current work around as described above, as soon as the "Multiple Pilots Any location" employee is booked even for just 2 people, then than timeslot for that employee is closed and only single named pilots can be booked for that time.... but how can the customer know that they should choose the single named pilot now.... they will simply choose "multiple pilots" and then on that timeslot no new bookings will come since they are not available anymore.
You really need to add this "any employee" up to a maximum option because in most booking situations wether yoga or fitness or skiing it often doesnt matter which teacher is assigned to a timeslot.... the company employing several teachers simply wants as many as teachers as possible booked for a given timeslot regardless the name.
It would be OK if the "Add to Cart" option would allow for services on the same timeslot to be added. Then a person with a group of 4 can choose a location and a service and a pilot and then go and add the next until all 4 passengers have a pilot in the cart. And then make the booking for 4. BUT: your system doesn't allow for multiple bookings in a cart for the same timeslot......
I think the latter solution would be the easiest for you to implement in an update to the software. The former would be really necessary in the long run. It's a crucial limitation that should be taken out.

In theory, that would mean that two or more employees would work on the same service, the same timeslot. However, as mentioned, there is an option to configure the booking of multiple appointments at the same time (per one booking). Cart feature allows you to configure that. Customers wont be able to book two timeslots for the same employees, they can choose two different timeslots, for two different services. To summarize, only one employee can be assigned to specific timeslot, for specific service, and currently, there is no option to change this, unfortunately.
