My question might seem strange, but we need such a solution for various reasons. Now, the question: Does Amelia allow the same advisor to work in different locations at the same time? I mean, can one person be assigned to two places simultaneously? Some of our services are provided in the office, while others are online, and we would like to introduce an online location, but without it blocking the working hours in the office – how can this be achieved?
Each employee needs to be assigned to a default location:
However, when you access the Work Hours tab of the employee, you can assign all your locations to your employee's work hours, or you can freely select multiple locations depending on the day:
This way, your employee will be assigned to all locations you've created, but when a customer books an appointment on one of these locations, all other locations will be blocked during this time.
I’m not sure if we understood each other correctly. Let me explain it again with an example. I would like Employee A to work at location X from 8:00 AM to 3:00 PM. I would also like the same Employee A to work at another location, Y, during the same hours, from 8:00 AM to 3:00 PM. Is that what you understood? What I meant was that the same employee should be available at the same hours but in different locations.
When I try to set it up this way, AMELIA allows me to configure the hours for the first location, but for the second location, the time slots are blocked.
In Amelia, an employee cannot be assigned to appointments at the same time across multiple locations. The system blocks overlapping time slots because it assumes that an employee can only be in one place at a time.
To achieve the setup you described, you would need to create separate employee profiles for each location. This way, Employee A can be assigned to location X for one set of hours and location Y for the same hours, but under different employee profiles.
I hope this clears things up. Let me know if you need further assistance.
Thank you very much for your response. I have two questions regarding this matter:
Will the system accept the same first and last names twice?
Will these advisors be displayed twice? For example, if we have an advisor named Jan Kowalski, will the list of available advisors show both Jan Kowalski and jan Kowalski? If that’s the case, it seems a bit illogical, doesn’t it? Would it be possible to ensure that they are not displayed twice?
Thank you for your questions! Here's some clarification:
Duplicate Names: Yes, the system can technically accept the same first and last names twice, as it distinguishes entries by unique email addresses or other identifiers. This might happen if two advisors share the same name.
Advisor Display: If you have duplicate entries for an advisor (e.g., Jan Kowalski and jan Kowalski), both will appear in the list of available advisors. This can indeed appear illogical and could confuse users.
To avoid this, it's essential to ensure each advisor is registered only once in the system. Unfortunately, there isn’t a built-in feature to automatically merge or hide duplicates based solely on name. However, regular data cleanup or implementing stricter registration protocols (e.g., unique email enforcement) can help mitigate this issue.
All my questions relate to the online location. The point is that services are provided both in person and online. Additionally, advisors will work both online and in person during the same hours. What is the best way to set up such a system?
You mentioned that if I create duplicates of advisors, they will appear multiple times in the list of options. However, duplicates must exist if I want the same advisor to work both online and in person simultaneously. The idea is that while the advisor is at the physical location, they can also serve online clients at the same time. Do you know of another method to achieve this setup?
To achieve a setup where the same advisor provides both in-person and online services during the same hours without creating duplicates, here’s the best approach:
Single Employee Profile with Multiple Services: Assign both online and in-person services to the same advisor under a single profile. This way, clients can choose the type of service (online or in-person) they want, while the advisor's availability remains unified.
Service-Specific Location:
For in-person services, set the location as the physical address.
For online services, set the location as "Online" or use the built-in Zoom integration for virtual meetings.
Overlapping For this purpose, when one employee is created, they cannot be assigned to multiple appointments at the same time, and thus multiple employees will have to be created.
However, if you prefer or need to manage separate schedules for in-person and online services more granularly, duplicates might be necessary. But this would indeed result in multiple entries in the booking options.
Let me know if this works for your use case or if you'd like further clarification on any step!
