I have been using Amelia for a few years and I have noticed that at each clocks change (in France, it's in april and october), one or two of my customers appointments get totally bugged.
For example, 2 weeks ago (before the clocks change last weekend), a customer made an appointment for today 6:30 PM. I received her reservation for 5:30, so unexpectedly for me today she didn't show up at 5:30 but at 6:30... I did have an appointment setup at 7:00 so that was embarrassing...
I have noticed that the same happens punctually when I modify an appointment made before the clocks change to another day (before or after the clocks change): there's an hour difference, and the appointment is not set at the same time for the customer and for me. Which is a problem...
What can we do ? This is very punctual, and doesn't happen for every appointment.
Thanks for reaching out to us. This is because your timezone is not properly configured. Amelia doesn't have its own timezone settings, and it uses WordPress settings. It's important to configure this to the nearest city in your timezone instead of UTC or something similar because an issue like this can occur when the time changes. Please find out more information regarding timezone settings in this article - Time Zones with Amelia
Was it always configured to Paris? Becuase, if you hard-coded the time zone, and you have booked appointments, once you switch the time zone in WordPress to your city, it will adjust the times in Amelia's appointments to fit the time zone your city is currently in. This happens because the times are saved in UTC in the database, and it's adjusted in the plugin programmatically. So, if you have a hard-coded time zone set to UTC+1, and someone booked an appointment for 09:00, that time is saved as 08:00 in the database. When you change the time zone to your city (which is now in UTC+2), the appointment time will be adjusted to the time saved in the database 08:00 + 2:00, so the appointment time will switch to 10:00. The only solution, in this case, is to manually modify the appointment times, but it's the only way to make sure your time zone is properly configured, and that the future appointments will be saved and displayed correctly both for you and your customers on the front-end.
Hi, yes it has always been configured to Paris. I don't know what hard-coding means...
And I don't know what you mean by "manually modify the appointment times" as the appointment times are set in my Amelia database and as I said before, once in a while on a clock change period, when I change the date and time of an appointment (or when a client makes a réservation), the appt time appears differently for my client and for me (ex : 5:30 for me and 6:30 for my client). But I can't know in advance if it happens, because I have many appointments and I can't check all of them with my clients, that is not what I can expect of an appointment plugin... So I discover the problem when my client is (for me) 1 hour late - and already expecting my next client - when she is (for her) just on time...
I was referring to the timezone configuration when it's configured to UTC instead of the nearest city in your timezone. Having configured the timezone to UTC while also having an appointment booked before the change to city usually results in having different times shown. If the timezone has been configured to city from the start, it's unlikely that the appointment times will be shown differently, no matter if daylight savings has changed the time. Just to understand a bit better, you are logged in as an admin, while your customers are previewing their appointments booked on the customer panel?
So thé timezone has been configured to "city" (Paris) from the start yes.
Yes I'm logged in as an admin and my customers are making their appointments via the booking form. They are not previewing their appointments on the customer panel, they receive an email from Amelia (notifications) + their reminder the day before with the %appointment_start_time% they have selected (or I have selected on thé admin panel). As I said it happens once in a while and not for every appointment (fortunately 😅)
No worries, I've got it. Well, i can log in to test this use case, but since you said it happens occasionally (not for each appointment) I doubt that we would be able to see the root cause.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.

Thank you for your patience. I understand the use case, but unfortunately, this appears to be an isolated incident. It’s difficult to investigate the issue when it occurs occasionally. I tested the system with my test customer and received the correct notification. Since we're in the same time zone and you have the "Afficher les créneaux dans le fuseau horaire" option enabled, all customers should receive emails with the correct time zone, as they are.
At this point, the best solution I can suggest is to continue monitoring the issue. Please let us know if it starts happening with all appointments. Without that, it’s challenging to pinpoint the exact cause. Alternatively, if you’re able to replicate the issue, any additional details would be very helpful.

Hi, in my WordPress it is configured the way you mentionned : Paris.
So there really seems to be a bug as it doesn't happen for every appointment but one or two randomly...
