i'm trying to put in place a booking solution for a coworking space.
As we will have multiples rooms that can be booked (1 meeting room, 2 individual rooms, coworking space...) i'm wondering what is the best solution ?
Do i have to create multiple employees considering that a room is an employee, or do i have to create multiple locations (considering that all rooms are in the same place) ?
Thanks for reaching out to us. It depends if you want to use the same schedule for all rooms. Since the work hours are based on the employee's work hours, each service assigned to this employee will have the timeslot shown based on the work hours. Instead of having rooms configured as employees, you would need to create services and then assign them to an employee. Also, the locations can be assigned only to employees. If you want your services to have different work hours, then you would need to configure employees for each service individually.
ok, It sems that in order to manage different plannings, it is better to use employees as rooms (I must be able to have several reservations on the same schedule, a maximum of 1 for each room).
So, i create an employee per room, but the question is on the Openspace.
I have 4 seats in the open space. So, 4 bookings possible on same schedule. But if it's only 1 room (employee), once a schedule is booked it's not possible to book same schedule.
How to manage it ? Do i have to create as many rooms as i have seats ?
You won't be able to use employees as a room, especially, since there are no options to configure the parameters as per your needs. That being said, the minimum and maximum capacity is configured in service settings, and that service is assigned to an employee. If you want to configure the possibility of booking for the same timeslot, you need to increase the maximum capacity of one service to 2 or more and enable the option " Allow booking below minimum capacity" in Appointment settings.
I want to propose booking for the room for half a day(4H, morning or afternoon) or full day (8h)
Open time is 09-13 and 14-18
If i set open time on employee with this, i can't book for the full day. If i set open time 09-18, i'm able to book from 10 to 14 which is not good....
That's why I referred to the option of having multiple employees assigned. When one employee is assigned to a service, there is little to no option to configure the work hours as per the needs you've mentioned below. Instead, having two employees will gave you much better options since they are not related to each other.
Yes, because the service can have a minimum and maximum capacity configured. The employee is basically an employee assigned to a service. If you go to Amelia and find the section "employees" this is where you configure employees and their work hours.
As a reminder, I want to propose booking for 2 rooms for half a day(4H, morning or afternoon) or full day (8h) whatever the room selected. The office is opened from 09-13 and 14-18.
If i manage 1 employee only, not possible to book the whole day as it's 8H and there is a break between 13 & 14. (4+4)
If i manage 2 employees, 1 with a break, 1 without break (for the day)...I need to create 2 services to manage the price...so 1 room dedicated for days bookings, and the other for half days bookings and i don't want that
You could create two employees with different work hours and assign it to one service. One employee would have half a day, while the other one would have a full-day schedule. The timeslots from both employees would appear on the booking form and the pricing can be configured per employee. (you don't have to configure the pricing per service).
There are no specific shortcodes, but you can enable custom pricing for each service individually. This would be visible on the standard step-by-step booking form when selecting a service. Perhaps, this would help.

Is it possible to have a quick online session to share my screen and show you what i'm not able to do ?
Really complicated to explain the need.
Hello benjamin,
Unfortunatelly, we dont offer that option currently. Feel free to explain as best as you can, and I will try to provide the solution.

Hi Benjamin,
You could create two employees with different work hours and assign it to one service. One employee would have half a day, while the other one would have a full-day schedule. The timeslots from both employees would appear on the booking form and the pricing can be configured per employee. (you don't have to configure the pricing per service).
