We're a business offering daily tours that are paid for both online and offline. We are looking to build a wordpress website and make use of Amelia booking platform for out tour bookings. HOWEVER - we currently already have a GetYourGuide.com platform account whereby users can place online bookings.
We therefore need to somehow sync our available slots for each event between Amelia and GetYourGuide. IS this possible via the Google Calendar or custom Zapier Zap?
Basically, if an event has 3 of 10 available slots booked on Amelia, we need this to reflect on GetYourGuide as well so as to avoid over-booking.
Any feedback on whether this is possible would be greatly apprceciated.
Thanks for reaching out to us. Unfortunatelly, we don't have any official integration with platforms such as GetYourGuide, but we don't have the option to connect several hooks that will send data from the Amelia plugin to any other application. You can use Webhooks for this purpose, you can find more information on this link. I'm not to familiar with GetYourGuide, but if there is an option to connect the Google Calendar, then it would sync the timeslots since an employee in Amelia would be also connected to the same Google Calendar. You can find more information regarding Google Calendar on this link.
My biggest issue is essentially the keeping track of "stock" ie: available numbers for each tour. Is this Google Calendar able to keep track of how many slots are still available for a particular tour? GetYourGuide has the ability to sync with Google Calendar, and I know Amelia does, BUT is it able to sync exact numbers of booking per tour, or only able to confirm when a particular tour is fully booked?
For example:
A tour has 10 slots available. 1 customer purchases 5 of these slots on my website using Amelia. Is Amelia able to tell Google Calendar that 5 of the possible 10 slots are booked, and thereby store that info in the calendar? So that, the calendar then syncs the info TO getyourguide.com. So essentially I need to know if Google Calendar is able to keep track of HOW MANY slots are available for each tour, and HOW MANY slots have been booked at any point in time?
I look forward to your feedback on the above. Thanks so much.
So far, while integrating the Google Calendar, we haven't noticed nor we where able to test this. Google Calendar sync is designed to prevent overbooking. If an Employee already has events in the Google calendar marked as busy, those will not be available for booking in Amelia. My idea was to have both GetYourGuide and Amelia employee connected to the same Google Calendar since you can have multiple employees connected to the same Google Calendar. All appointments would then be in sync, so when someone books a booking via GetYourGuide, the timeslot shouldn't be available in Amelia for booking. Most definitely if the timeslot is configured as busy in Google Calendar, it wont be available for booking in Amelia.
Once again - THANK YOU for your time and for your response, much appreciated. We're looking into the situation and busy making strategic decisions based on your feedback. Thank you so much. If we do decide to proceed with a booking system on our website, we will definitely be making use of Amelia. We're looking into a custom API connection as well between Amelia and GetYourGuide.com. All budget dependent.
Thanks again for your time. Have a great day ahead!
Just to note, Amelia also has the API feature option, but you would need the Elite license in order to be able to use it. Feel free to check the differences between the licenses on this link.
Thanks for the heads-up. I hadn''t realized the API was only on Elite. We are looking at purchasing the PRO package for a single domain. I notice the PRO has Webhooks enabled. Would this be of use to perhaps communicate with another platform such as getyourguide? Perhaps via a custom zap on Zapier? Unfortunately, for us as a start-up the elite package is a bit out of budget.
Well, Webhooks can be used to set several hooks that will send data from the Amelia plugin to any other application. If GetYourGuide has the option to integrate the hooks, I believe this would work fine. Looking at the previous workaround (with Google Calendar) I guess that Webhooks would be an even better solution. Anyway, you can purchase our license and test it out. If it doesn't fit your needs (or it doesn't work), you can request a refund within 15 days of purchase.
