Hi, I have a pet-sitting business with multiple different categories of services and multiple different providers (employees).
What I am trying to do is have a Google Calendar that accurately reflects all of my company's appointments across the various services and employees. Currently Amelia only has that in the internal calendar which doesn't work for us. I need to have an admin calendar that's invited to every appointment that's made. This way I can see at a glance in Google all the work scheduled across all my providers along with our other non-Amelia appointments. Right now every appointment is between the employee and the customer and there's no way to indicate them in Google Calendar unless that employee shares their calendar with me. I need the appointments to be sent by the admin with the customer and employee as invitees.
Now, using Zapier and some very complex parsing of the employee appointment notification email, I AM able to do this. 😲 My problem is that there then still exists a calendar appointment for the same time between the employee and the customer. This is confusing to both customer and employee. Is it somehow possible to stop Amelia from sending calendar invites to the customer and employee once it checks calendar availability, and just have it send the notification?? It's especially important not to send an invite to the customer, but ideally not to both.
I tried removing email from the Amelia booking requirements and removing the email from the Amelia customer account but it still gets the email from the WP account. Any suggestion would be very helpful!!
I'm afraid we don't understand what exactly you want to achieve and what exactly is the issue? Can you explain in a little more detail and send us some screenshots or a short one-minute video?
Do you meant to stop sending Google invite or WP backend access (this is sent from WP not from us)? Amelia is designed in that way and the notifications are sent to employees and to a customers that is it this is how it must work.
In settings notifications settings you have option to add additional mail address so that you receive all notification that are being sent.
We wish you all the best and hope you have a wonderful day ahead.
Yes, I understand it's a strange request, and your explanation is great, thank you.
And yes, while I WANT Amelia to create an appointment IN AMELIA between customer and provider, I DO NOT WANT it to send a Google Calendar invite to either. Notifications should be sent as usual. Just skip the Google Calendar invite from the employee to the customer. I will send that myself. Is that possible?
You mentioned copying an admin on the notifications, and I do that. I am looking for a workaround to the fact that I cannot add an admin address as an invitee to every appointment, in a way similar to notifications.
In settings integration you can turn off option called Send Event Invitation Email
This way there should be no invite sent from Google.
As for admin mail Im afraid that this is the only option if you add it as additional mail you will get all notifications that are being sent from Amelia if you remove it only emplyoee and a customer will get notifications there is no other option.
And to be honest additional data just confused us to be honest. If you turn od this option this will not be sent to customers. If you have some other issues we would need a video to see the issue live and to understand it better and to try and help.
Thank you for the compliments we try our best. As for your video we now understand what you want to achieve. So in that case you do not need Google integrations but you do not have to remove it it is enough to disconnect the emplyoee from the calendar in the employee modal. That is it then the appointments will not show in the employee calendar. Just disconnect it purge the cache and that it.
We wish you all the best and hope you have a wonderful day ahead.
