Query re. delayed payment

Hi, I'm interested in using Amelia but had a key question first: We'd like to make all bookings 'pending' and only take payment for them once the booking is changed to 'approved'. Is this possible? Potentially by using Woocommerce order statuses and sending the full amount to paid via WC once the booking is confirmed?

    Thanks

    Hello there,

Thank you for reaching out to us.

We have something similar. We have option payment link option with this option customers can book a deposit for example and they can pay the rest of the amount before the appointment starts. You can read more about it on this link https://wpamelia.com/configuring-payments/#payment-from-link.

We wish you all the best and hope you have a wonderful day ahead.

    Kind Regards,

    Thanks Marko.

Do you have to have a deposit first, or can the cost be shown but no payment taken, and then the payment link sent upon approval?

    Hello again,

You can set it both ways. You can ask for some amount for deposit or you can set that deposit is 0 whatever works for you.

We wish you all the best and hope you have a wonderful day ahead.

    Thanks Marko!

A couple more queries if you don't mind:

    • Is there a way to trial the system before paying to make sure we can add all the functionality we need? We’ve had a look at some of the demo sites and are pleased with how it looks and feels generally from the front and back end, but were wondering if there was a way that we could play around with customising our own bookings portal before committing.
    • Is there a way to ensure payment is received within x amount of time using the delayed payments/pay once approved feature? E.g. customers have to pay within 10 working days of receiving the link to secure their booking.

    Best wishes,

    Lorna

You can buy our license and try Amelia out. We offer a 15-day money-back guarantee, and in that period of time, you test everything and see if Amelia fits your needs.

You can read more about it on this link https://wpamelia.com/configuring-payments/#payment-from-link

    Hi Marko,

We’ve been testing Amelia and I have a couple more questions if you don’t mind:

    1. We’ve enabled the deposit feature but set it to zero, so they just pay the full amount online later. However, this means Woocommerce is creating two orders for each booking – one for the deposit and one for the full amount. Is there a way it can be just one order, that just shows the ‘amount paid’ is zero, i.e. it’s ‘pending payment’?
    2. Even though the deposit feature is enabled, the Amelia checkout stage says “Pay now: £50”, “Pay later: £0” – it should be the other way around. Do you know why this is happening?
    3. We don’t need multiple Employees, but we do need to specify which ‘Rooms’ people are booking so we don’t double book a specific room. I’m currently testing the Resources option for this but I’m not sure it’s working – What would you suggest? The bookings are all sharing one Outlook calendar to check for clashes, so do we need an employee for each ‘room’ all sharing one calendar?
    4. From what I can gather I think the answer is ‘No’, but can we have custom booking statuses? We’d like to be able to automate emails based on ‘pending’, ‘approved pending payment’, and ‘approved’

    Thanks,

    Lorna

    Hello again,

If you have the full version now please open a ticket in the Amelia category with your purchase code and please open a separate ticket for each question to keep things fair for all users.

Since questions for pre-purchase are quick in general yes or no question and full testing question takes much more time.

- No, since these are 2 separate transaction. And this is more related how WooCommerce works not Amelia. But these are w transaction no matter if one is with the amount 0
    2. Even though the deposit feature is enabled, the Amelia checkout stage says “Pay now: £50”, “Pay later: £0” – it should be the other way around. Do you know why this is happening? - Something is not set properly. Please send us a couple of screenshots in a new ticket or a short one-minute video of the issue since we have never seen this before to be honest.
- For this also it would be best to open a separate ticket and elaborate more on your needs if we do not help with this explanation. If you want to offer several rooms wt the same time you need to have several employees. You might not need resources at all since they are used in opposite scenario. So if you have one employee and several rooms you can rent one room at a time. If you need to rent 3 rooms at the same time you need to have 3 employees. Resources are used in case you have 3 employees and 1 room so that you avoid double booking.
    4. From what I can gather I think the answer is ‘No’, but can we have custom booking statuses? We’d like to be able to automate emails based on ‘pending’, ‘approved pending payment’, and ‘approved’ - No, unfortunately, currently this feature is not available in Amelia.
