Tour time set up

I want to set a date and time for services, as you can see, this is a tourism company, and I need to set a clear start and end parameter. The duration is correct 4 hs but what I don't know how to set is how I can clearly schedule 2 tours of 4 hours in the same day, but that only start at 9 AM to 1 PM and another from 2 PM to 6 PM, and that only those slots exist in the calendar.

    Hello Christian,

Thanks for reaching out to us. This depends on the employee work hours configuration. You would need to configure the employee work hours from 9AM to 1PM and the other timeslot from 2PM to 6PM.

When you go to Amelia/Employees, and select that employee, go to the Work Hours tab. In there create several working periods. For example:

    2856665082.png

My employee would work on "Service 1" and "Service 2" from 08:00 - 10:30, on "Second" service from 10:30 - 15:30, and then again on "Service 1" and "Service 2" from 15:30 - 24:00.

You'd be adding these periods by clicking on the blue + sign next to the name of the day, in the top right.

This is just an example, but you can configure it according to your needs.

Of course, let me know if you have any issues or other questions.

    Kind Regards,

    Stefan Petrov

    Hello Stefan,

    Many thanks for your msg.

I understand that I need to set up for any services different employees, I have 2 different services, for ej ( LAGOS 4 x 4 and Senderismo ) in case it could have the same schedule, it happens very often, because, we are a tour operator and we offer in the same day different tour services, at same time. I will need different employees to provide different services.

I am sending attached print screen , because I set the time but still have an issue that I can not set up.

I do not know why I have the chance to choose some tour from 04:00 to 08:00 if I set up the proper company time and tour time.

Please let me know what I need to do.

    Regards

    Chris

    Hello Christian,

Can you send a screenshot of the employee work hours? Make sure that your timezone is also configured to the nearest city in your timezone instead of UTC timezone (Buenos Aires) . You can change this in the WP timezone settings.

I need to set up , any services one employs to provide in the time slot of the services.

Employ 1 working hour 9AM to 6 PM

    Lagos off Road 1 9AM to 1PM

    Lagos off Road 2  2PM to  6PM

Employee 1 can not provide any other service out of her slot?

I need to have an employee with a different email .

    Employee 2

    Senderismo 4 horas

    Employee 3

    BTT  Tour 6 hs

I should work in this way?

Could you help me to use same email with different employees?

    Hello Christian,

In your first case, the service duration is 4 hours. If you have a service with duration of 4h and your employee work hours are configured 9AM to 6PM (with the buffer time after set to 1h), only these two timeslots will appear. So 9AM to 1PM and 2PM to 6PM.

The trick here is to follow the service duration. In case of employee 2, you want to have a service duration of 4 hours (the same as first one) and configure the work hours. For employee 3, you would need a service with 6 hours and so on.

As for the employees' emails, if you use Google or Outlook for emails there is a workaround. You can put the same email just place +number before @ and you will be able to save employees but all emails will go to the same email address. For example, [email protected], [email protected], [email protected] etc, will be different while saving and you will be able to save all employees but all emails will go to the [email protected] address.

Hello Stefan, Good morning, thank you very much for your message. About the interaction between Woocommerce and Amelia: I am going to continue asking you, I tell you, I have a them where I have created all the tours, the them is embark, and I have created all the tourist services in tours.
You need to create all the products in the WooCommerce store.
    These would be the steps.
I currently have all the tours created.
Now I would have to create them in the 1st Category, then each Service.
To finally create it in the woo commerce store.
Do I have to manually create each products in the WooCommerce store?
    Regarding employees' emails.
Our company hires freelance guide services for our tourist services, for this reason our clients do not choose the guide who will provide the services, our clients choose the particular service for example, Lago 4 x 4, if the guide is me or you or another person we hire for that day is irrelevant to our operation.
To which email do confirmations of services and clients go?
The email that I have to put for each employee, what function do they fulfill, is only to complete the form because it is a mandatory field or if there is any modification, it also reaches that email, I want to centralize everything in a single email, the notifications about purchases and exchange so as not to have to have several emails in use at the same time.

    Hello Christian,

Let me try to explain a bit more. Once an integration between WooCoomerce and Amelia is established, a WooCoomerce product will be created. This order will not be visible on the front end (not visible to the customers) but it will "serve" as an integration between WooCoomerce and Amelia. In order to use WooCoomerce, each service needs to have a WooCoomerce product assigned. You can manually create products in WooCoomerce settings and then assign them according to your needs. I recommend checking out this link for more information regarding WooCoomerce.

Now, for the emails, the workaround I've provided previously can be used if your employees have gmail accounts. By default, each employee needs to have a unique email since Amelia won't let you configure the same email (this is because it needs to avoid any conflicts). By configuring emails using the instructions I've provided, all emails will go the same email address. Employee emails are important since an employee will receive notifications whenever there is an appointment for a service that an employee has been assigned to. By default, both customer and employee will receive a notification whenever there is a booking.

    I hope I cleared a bit.

    Kind Regards,

    Hello Stefan,
Good afternoon, thank you for your msg.
Everything is clear, I have created 1 employee for each service that I am going to offer, but when I am finished creating the employees for the winter services, it does not save them anymore.
I have created only 19 Employees, and it no longer saves them.
I would like to know what I have to do since I need to create a service here!
    Regards,
    Chris
