Just a heads up: We'll be taking a breather to celebrate International Workers' Day (May 1st and 2nd - Wednesday and Thursday) and Orthodox Easter from Good Friday (May 3rd) through Easter Monday (May 6th). So, from May 1st to May 6th, our team will be off enjoying some well-deserved downtime.

Creating multiple tables sourcing the same Google Sheet

    Hi team,

    Please could you confirm if multiple tables can use the same Google Sheet for its' data? I tried it but during connecting the second table to the same Google Sheet it told me the table has now rows which is not true.

    Hi Petr,

    Sorry to disappoint you, but it is not possible to use multiple Tabs from the same Sheet as data source for one Table.

    Each Google Sheet Tab has its own unique URL.

    You can only link one Google Sheet Tab to one Table in our Plugin, if you use this method :

    Create a data table linked to an existing data source.

    For Tables linked from Google Sheets :

    As mentioned on the Documentation from that hyperlink,

    Please note: Once you create a table from a Google Spreadsheet, changes in the core file from which a table is created, like:

    • Changing the column’s name,
    • Changing the column’s order,
    • Deleting the column, and
    • Adding a new column.

    are highly not recommended, because the old table will not work, at the moment. If you make any of these changes, please recreate the table again.

    In other words, if you change the structure from the connected Google Sheet source, that Table would break and you would need to make a new one.

    The only safe way to do that is, to add a new Tab to the Spreadsheet ( or a completely new Sheet),

    because the new Tab has a different Sheet URL ;

    Then you can change anything you wish,  Column Names, reorder columns, remove/add column etc;

    And go in the back-end of the Table, then just change the source URL, and hit "Save Changes".

    This way, the Table will pick up the new /changed Data Source without issues, even if you change the data structure.

    On the other hand, if you change the data structure of a Sheet that is already connected - then the issue happens.

    I will elaborate more on two ways how you can use Google Sheets :

    There are two ways how you can use Google Sheets data in our plugin ;

    1. if you Link the table to Google Spreadsheets,

    when you modify or add new rows on the source sheet,

     the plugin will show those changes within 15 minutes (since there's cache on Google's side). 

    If you don't want to face any issues with Google cache, i recommend to try our Cache and Auto Update Cache Feature, which helps with performance and you can also set up custom update time via Cron Job.

    If you need to use Private Sheets, you can try the Google Sheets API method

    - This table will not be editable from the plugin side,  but it will be synced with editing from the source Sheet.

    2. Or, another way, If you import the file, the plugin reads the source file and creates a manual table

    Once the table is created, it is no longer linked to the source file, so changing data in the table will not show up in Excel or Google Spreadsheet, and vice-versa. 

    This table will be editable in our Plugin.

    If you need quicker editing, you can either switch to the Excel-like view

    and then select and copy the range of cells you want to paste from the source file, and paste it in the Excel-like view, 

    or you can Update manual tables from source files (CSV, Excel or Google sheet) with three options :

    • Replace data within an existing table.
    • Or Add data to an existing table.
    •  Or  Replace the entire table with new data.



    So the only way if you need to import data from an entire Sheet and its tabs, can be - if all the tabs have same Column number and same Header Names.

    Then you can import them one by one into the same Manual Table - as on the instructions above.

    But if they don't all have same 'data structure'/same column number/header names;

    then it would break the table.
