I have configured the system to send emails to both customer and employee upon scheduling an appointment. However, when there is already an appointment scheduled for a particular day, the system fails to send new appointment information to the employee.
I would like to ensure that employee receive notifications for every appointment, regardless of whether there are existing appointments on the same day. How can this issue be resolved?
When the email notifications are configured properly, and there are notifications templates enabled for both the employee and the customer, both the employee and customer will receive an email each time, depending on the appointment status. So, for example, if the booking is approved automatically, then they will receive the email with the text from the "appointment approved" template. The same goes for the appointment pending template and so on.
It doesn't matter if the appointment is already scheduled for a particular date, if the customer book another appointment for that particular date, he will receive another email, whatsoever.
What we can do is test it in your WP, but if the notifications are working in the first place, then it should work in the scenario when there is already an appointment, as well.
Thanks for the credentials. I was able to inspect the configuration of your WP.
You are using the WP mail for the mail settings. We strongly recommend changing mail service setting to SMTP or Mailgun because email that is sent with PHP Mail or WP mail generally gets flagged as spam by mail servers and also can take some time to send.
I've just checked your configuration again. The test email does work, but for some reason, you have the "appointment approved" notification disabled, for both customer and employee. Is there any particular reason why it's disabled?
As my products are travel itineraries, I need to confirm availability with the suppliers and then sending payment links to customers or requesting them to change the travel dates. I cannot use standardized replies.
Here is what i was able to find. So, your default appointment status is set to pending, and as such, two emails are sent to both customer and employee
This is the schedule for the date / time that doesnt yet have an appointment. If i go ahead and approve the appintmetn, i wont get the notification, since this is disable in the notification template.
Since the appointment was approved, I went ahead and booked another appointment for the same time/day which is Jan 18 08:00AM and i'm still getting the notifications for the appointments
As you can see, both appointment are for the same timeslot
According to this, everything is working properly. You can double check again and let me know if it works.
This time, I tested three appointments on the same day, but the problem still occurred, specifically on the second appointment for the same staff member. The email sent to the customer was successful, but the email sent to the staff member was not delivered.
If it involves different staff members, both types of emails are sent successfully.
Thanks for the feedback. So i've tested the booking again. As you can see, i've received all the emails, even with the booking for the same employee.
I've tested with the user who has my email, and everything is working properly. Perhaps, the issue could be related to the employee's email? Have you tried the booking with the other staff member?
Thanks for the video, it is super helpful. Unfortunatelly, i couldn't reproduce the use case on localhost, the emails are working properly.
But i've noticed that you are using Amelia 6.6, and that is a fairly old version now. We have released Amelia 7.3, so we recommend updating to the latest version since it contains bug fixes and features added.
After the update, we can test again and troubleshoot further.

Hello CCK,
Apologies for the late reply. I'm trying to log in again to your WP, but for some reason, the Auth codes that are sent to my email are not working.
Can you double-check if this authentication can be disabled?
Thanks.
