closing day alert

Hello is it possible to introduce a notification at the close of a day for an employee who has appointments already registered.

When, for whatever reason, we have to enter a day off, no notification is issued in case that employee has appointments and the day is closed in front.
We need this to manually alert clients to reschedule the 'appointment. We just need an alert when entering a day off if they already have appointments. also a change to the code.

    Hi Lorenzo,

Sorry but we are not sure if we understood this scenario correctly, so please correct us if that is the case.

    -

If we understand, for example, some Employee already has some Appointments scheduled for a specific day,

and later on you wish to set a day off  on that day for the Employee,

and you want Amelia to automatically check if there are already some appointments booked for that day,

to notify each Customer that might have something booked that day,

and to tell them they have to reschedule because now that Employee will have a day off?

    -

If that is the case, we are truly sorry to disappoint you, but at the moment as far as we are aware, something like that will not be possible.

That is why we introduced options such as to limit how much time in advance can the Customers book a specific service, etc,

but it seems we did not think of a scenario like this yet.

    We are going to check with our senior Team and our developers, if we have any kind of a current workaround to achieve sending the automatic Notifications to the Customers that they have to reschedule in that scenario;

or if our developers will need to add a new feature for that.

As soon as we get confirmation we will report back.

    Thank you for your patience.

    Kind Regards,

    Miloš Jovanović

    Hi Lorenzo,

we checked and truly sorry to disappoint you,

but at this moment, there is no automated way to create a Notification Alert such as this.

Right now, we can only trigger the sending of a Notification Template according to if a status of any appointment changes,

such as  Approved, Rescheduled, Pending, Rejected, Cancelled, Rescheduled  or "appointment details changed".

    2590860453.png

At the moment, there is no way to trigger a Notification for setting an Employee for a Day Off.

If they already have some bookings approved for that day,

then unfortunately,  in that moment, the Employee or someone else like Amelia Manager or an Admin can either try to change the status of the Appointment, or change the details,

anything like that to trigger the Notification,

they could also cancel the Appointment, and send a refund to the Customer, that is a possibility,

then the Customer can book again without any funds lost ( if they already paid online in advance)

You can read more details on how Amelia's Refund system works here.

    5293827674.png

Please note that refunding a transaction does not automatically change the status of the appointment. If you refund a transaction, and you haven’t canceled the appointment/attendee of an event, you will need to do it manually if you want to.

And important to point out, the Refund Feature is only available with the Pro and Developer Plans, you currently have Basic, so you don't have that at the moment unless if you upgrade the licence.

    -

Another thing you could try to avoid a situation for an Employee to get booked too far in the future,

can be to limit the time Customers can book in the future,

with Period available for booking in advance  from Amelia General Settings

or from the individual Service Setting, which overrides the Global setting.

    1073928532.png

If you wish to see this feature in the future, to add a new Notification Template for Customers

which can be triggered for sending on an Employee's Day Off,  in the case if there are any bookings on that day,

you can suggest this for future development.

Please feel free to search through our feature suggestion page

to see if someone may be already suggested this feature. If you can't see it, feel free to add your suggestion there, and as more people vote, the feature will move higher on the priority list.

    You can certainly follow our changeLog page if you'd like, where we state any changes/new features/bug fixes during updates;

Hello, I thank you for your reply.

Actually the solution I was looking for is simpler. We don't want the notification to reach the clients.

When an admin, or an employee himself sets the Day Off, if he has appointments, we would like an alert to be shown that the employee has appointments. e.g., "Attention you have confirmed appointments on this day(s), remember to reschedule them."

Just an alert, so manually will reschedule/cancel appointments.

    Thanks for reply

    Hi Lorenzo,

Thank you for clarifying the intended use-case,

my apologies, i was under the impression you wanted to send an automatic Email to all Customers that booked something on that day,

but i see you wanted to have an alert to be shown to the Customers.

I presume this Alert should happen on their Customer Panel, or somewhere else, if you can elaborate a bit more on that?

In either case, that is also currently not possible, since that would require something in the back-end, such as some sort of an 'event listener logic',

which should be triggered to check if there are any bookings set for that day,

and when an Employee gets a Day Off,  to automate the Alert,

     that is also not currently possible;

but you can certainly add a development suggestion as we mentioned before, just ensure to describe how that alert should look,

    where it should be presented for the Customers, and how it should be triggered;

then we will do our best to work on adding something like that as soon as possible.

    Thank you for this suggestion.

    Thank you for the response.
the alert we would like is not for the client but for the admin himself.
at the time he sets the day off to the employee if the employee has appointments, the admin should be notified via an alert or popup directly on the screen he is on. The alert is for the admin who performs the action.
    EX.
the admin sets the day off to the employee, but does not know if he has appointments for that particular day, so he has to go and check his calendar and check for them, whereas if at the time he sets the day off he gets an alert already he knows he has to do it or vice versa he does not have to check anything.

    thank you for your patience

    Hi Lorenzo,

Firstly, I would like to sincerely apologize for the delayed response as we have been experiencing an unusually high number of tickets. I am sorry that it has taken longer than usual to respond to your concern and your patience is highly appreciated.

    -

Thank you for this clarification, now we understand exactly what the use-case is,

so it is intended for the Admin as a notification and or/PopUp to basically alert the Admin if the Employee has something already booked on that day,  if they try to set it as a "Day Off" and vice-versa as you explained.

That is not possible to be achieved at the moment, but it is a nice idea for a future option.

If you wish to try to achieve a solution now, if you have coding skills or your own developer,

maybe it can be done with custom work,

but our support does not cover custom solutions,

and our developers are very busy at the moment, working on some priority tasks and fixing bugs and issues with our plugins, so they won't be having the time for custom work in the near future.

    Thank you for the suggestion.

If anything else comes up, please don't hesitate to open new tickets.

When refunded, why there is not email notification is getting generated? it should go to the manager and customer. However this is missing. Refund is a finance transaction. this is must for tracking fraud.
