    Hi, we are really struggling with appt booking from the back end. We are a high street salon, clients call us to make bookings.

    We take alot of clients who do not have a preference of tech but have a specific time they can come so we pick the appt category, then the service, then the date and then the time they want. We assumed once we had picked all of this it would then show us available techs but it doesnt, it shows us all techs who are booked to work that day but may not be available at that time, so then we have to click the technicians name, then it removes the time of appt as they are not available then we have to pick the time again and then the next techs name and so on until we find the tech who has that time available, surely once we pick the category, service, date and time, it should only show the technician that supplies that service and has availability on the date and time shown? With 6 technicians and soon another salon opening who will also be using this system, it should grey out the techs not available at that time?


    I have added screen shots of the problem.

    Now we would assume it would only show the employee that had that time available (as someone must have that time available or Amelia does not show the time, this screen shot shows all of the employees who work on that date and offer that service, so we assume they are available

    so we pick a random employee (we picked Leah) and now as Leah is not available at that time, the time dissapears and shows her availability - screen shot below

    Obviously now we have to remove the employee, repick the time and then click the next employee until we find one with that time available, or we can remove the time, pick the employee and search through their available time. We have 6 employees, soon to be 7 and our next salon opens next month, this really doesnt work as a booking system this way round, when we pick the date and the time, it should only show 'available employees' 


    It does partly work as it only show employees assigned to the service and the day, why does it also not include the time?


    We need an urgent fix on this asap please?

    Hello Francesca,

    Thank you for reaching out to us.

    There is nothing to fix I'm afraid this is how Amelia is designed. In Amelia service work hours depend on employee work hours and since the employee's choice is mandatory on the backend if you choose the emplyoee who does not have available time slot you need to then choose another one. There is a potential workaround for you. 

    You and your employees can book the appointments on the front end from the incognito mode. You can book via booking form as a customer and if employee fields is not mandatory you can just choose the available day and time slot and employee will be assigned automatically. On the booking form, you can see all available time slot and days so in this case this is better and quicker solution for you perhaps.

    Hopefully, this way suits you better.

    Hi

    Is there any way this will be changed in the future, I have added it in the suggestions page. if its available from the front end by making technician non mandatory, then can we not have the same option from the back end, it would make bookings for salons alot easier

    Booking front end doesnt work either as then it registers it as a green appt as booked on web rather than a blue appt for booked at the back end

    Hi Francesca,

    Yes, we agree with you that this is definitely something that we should improve in the future.

    Thank you for creating the Suggestion for development, our management will make a task for our developers to try and improve this,

    exactly as you described, to make it so that when we choose a Date and Time first,

    then Amelia should exclude/gray out the Employees which are not available for that time.

    We can't say an exact ETA when this will be improved, since it will be changing of the logic from the back-end,

    but we hope it might be added soon.

    As more users vote for your suggestion, it will move higher in priority,

    our management and Planning Team are following all requests carefuly.

    2. What you described as hiding the Employee selection or making it not mandatory, so we can go for "any Employee" , then see all combined available time slots,

    and then Amelia to assign a random Employee who is available in the chosen time;

    Unfortunately at this time that is only available for the front-end,

    we don't have this option for the back-end booking yet,

    but we think that is also a good idea for future development.

    You can add that suggestion as well to our suggestions Page.

    3. What you described now as booking from front-end registers as green appointment,

    versus a blue appointment ,

    can you please show us some screenshots or a Video and elaborate a bit more,

    we are not understanding what you mean by that?
