    Hi!

    I would like to insert in the backend appointments at every time. Actually i have a flexible working hours that for the most does not respect the opening and closing time. I would like as role of admin or manager of Amelia can subscribe every times opening and closing also of the employees.

    I would like also that this appointment I take in the backend are showed on the calendar of all the employees.

    Actually I have created more employees with specific times of opening and closing just to insert the horseback riding in different times and sometimes this solution did not work at all.

    Is there a simple way to modify the possibility of the insertion appointment at all the times and show it on the same calendar?

    Hi, Paolo.

    If we understood, you need to have the ability for the Administrator Role and Manager Role to be able to schedule appointments from the back-end at any time, regardless of available working hours of the employees?

    This is only possible for Administrators,

    if you enable this option, in Amelia main settings/Allow admin to book appointment at any time.

    If you enable this option, Admin will be able to book appointment at any time
    (working hours, special days and days off for all employees will be ignored).

    Managers will not be able to do that, they can only pick date and time of appointments according to the available work hours you set for the Employees for a particular Service.

    2. Another way could be to create hidden Services, and additional employees with 24 hours working time.

    Just go in the service settings, and uncheck this option :  Show Service on site.

    If this option is disabled, service will be available for booking from back-end pages only.

    If you need to also have front-end services available for customers to pick date and time,

    then you can have one version of a service on front-end , with "standard work hours" and one employee for that,

    while having a second version of a service just for back-end bookings like this,

    and make a duplicate employee for it,  set work hours 24 hours for that service schedule.


    You can also set up same Email ( and same name if needed) for multiple Employees.

    Here is a workaround to have the same email for multiple employees.

    Basically, if you use Google or Outlook for emails ,you can put the same email ,

    just place " +number"  before @ symbol,   and you will be able to save employees,

     but all emails will go to the same email address.

     For example:   ' [email protected]',  '  [email protected]',  ' [email protected]  ' etc, 

    will be different while saving and you will be able to save all employees but all emails will go to ' [email protected]'  address.


    Here is an example from my "fake employees", this one i name "Nick Employee", and his duplicate i just added the name "duplicate", but they can actually have exactly the same name ( if needed).

    I just add the +1  before the @ symbol.

    3. Regarding sharing same Calendar to insert all appointments / from multiple employees,

    you can connect multiple Employees to same Google or Outlook Calendar.

    Please check here how to connect employees to :

    Google Calendar,

    and Outlook Calendar.

    An Administrator and Manager can see all appointments from all employees in Amelia's Back-End,

    and if they log in the same Google Account/ or Outlook, they will be able to see all the appointments, if you connect the employees with that Calendar, too.

    Just important to note, if you enable to sync Busy Slots - then if Employee A is scheduled for a specific time,

    all other connected employees to that Calendar will be blocked for that time,

    so if you need to have multiple employees available at same time, disable syncing of Busy Slots.
