As you dont keep a log of these emails we cannot check this but can you confirm it only sends this is the appt status is approved as we have had a customer cancel before their appt, we changed their status to cancelled but have received this email?
I'm afraid that we didn't quite get what you want to achieve exactly? Can you explain to us in a little more detail, and send us a couple of screenshots?
Scheduled messages are sent only if there's an existing appointment the message is related to and if the appointment is in the Approved status. So, in short - if the appointment is canceled the cron won't trigger an email, and if the appointment is deleted, follow-up email won't be sent.

the notification email which is sent 30 mins after the appt is completed
can you confirm if we cancel the appt, then it does not still send this notification?
(notification is called appointment follow up and it is one of the notifications that comes with the system (not one we customised))
