We are using Amelia for tour bookings. Multiple people can book into the same time slot for the same tour, up to a maximum capacity.
When the first individual or group books for a time slot, the employee is sent a notification saying there is a pending booking, and then goes in and approves the booking. This then changes both that individuals booking status to approved and the group status for that time slot to approved.
If another person comes along and books into that same time slot though, they are sent the booking approved email automatically, and the employee doesn't get the pending email at all.
When you view the time slot, it shows the group status as approved still, but if you click edit to view the individual bookings, the new booking shows as pending still.
I'm sure what used to happen is that if a new booking came along and was added to an existing one, the group/time slot status would change from approved to pending until the new booking was approved.
Your ticket is detailed, but we are not sure that we have understood the issue 100%. If your default appointment status is approved, but if you have a minimum capacity for a group appointment, for example, 6 out of 10, then all your appointments will be pending until 6 customers book. After that, the appointment will be automatically approved because it has met the minimum you set, and after that everyone will be automatically approved. That's how Amelia works.

If a previous booking for a timeslot has been approved, and the minimum numbers are reached, then a new booking happens and the customer gets the approved email. However when you go in to edit the appointment as an employee, the appointment status is approved, but the group status still sits as pending which is confusing.
Likewise in the approval email notification that goes to employees, we include the number of persons placeholder (%number_of_persons%) and it comes through looking like Approved: 4Pending: 2. (note there is no space between the two statuses, perhaps this could be fixed in a future update?).
The employees assume (because they get the approved email) that the appointment and the group is approved, but then if they don't go in and edit the appointment to change the second group's status to approved, then when the next day reminder comes, only the original group is showing on the email, and the one that is still pending doesn't show (when we use the %group_appointment_details% placeholder).
Furthermore, it would be useful to be able to have a group status placeholder for use in emails, rather than just appointment status. Ideally we can send an email with just the most recently booked groups details, but currently we can only send customer name, number of people etc, for the entire appointment, not just the new group.
I'm afraid that we didn't quite get what you want to achieve exactly? Can you explain to us in a little more detail, and send us a couple of screenshots? Can you make a short one or 2 minute video of the issue so that we can understand it better?

They easily overlook this. If they don't go in and approve this second booking, then when they get the next day reminder email, it only shows the first approved customer and not the subsequent pending one.
Basically what I'm saying is that is doesn't make sense for both the employee and the customer to receive an email notification for the second booking that says the booking is approved, when in fact if you go in and edit the appointment, the actual status beside that customer is pending (even though the appointment status is approved). It would make more sense for the pending email to be sent to the customer and employee, prompting the employee to go in and approve that booking (this is what we want to happen). Then the customer can receive the booking approved notification.
Please provide me a temporary WP-admin (administrator) user for your site where this happens, so we could log in and take a look ‘from the inside’ as that’s the most efficient way to see and resolve the issue.
We do not interfere with any data or anything else except for the plugin (in case that’s a production version of the site), and of course, we do not provide login data to third parties.
You can write credentials here just check PRIVATE Reply so nobody can see them except us.
