List of Attendees

Is there any way to send the employee a list of attendees the day (or two) before an event.  We see the %number_of_persons% placeholder, but we'd like to include a list of first/last names as well.

Or a way to automate sending the csv file of attendees?

    Hi, The

    Sorry for the delay

Yes. You can create a scheduled Event notification  for Employees,  that will be sent  day ( or two, depends how you set it),

before the Event,   and you can include an email placeholder with the names of customers.

    -

If you need help on creating custom scheduled notifications > this requires a bit of additional setup, you will need to setup a cron.

cron is a Linux utility that schedules a command or script on your server to run automatically at a specified time and date. A cron job is the scheduled task itself. Cron jobs can be very useful to automate repetitive tasks like in our plugin for notifications.

Depending on the server, there are different configurations for it, which you can contact your hosting provider about, or you can check out one of the solutions for it on this link.

    Also, you can try this:

    */15 * * * * wget -q -O - "https://www.yourwebsite.com/wp-admin/admin-ajax.php?action=wpamelia_api&call=/notifications/scheduled/send"

    Or this:

    */15 * * * * /usr/local/bin/php ~/public_html/wp-cron.php --action='wpamelia_api' --call='/notifications/scheduled/send'

    Or this:

    GET 'https://yourdomain.com/wp-admin/admin-ajax.php?action=wpamelia_api&call=/notifications/scheduled/send' > /dev/null

WP Crontrol plugin is the best option if you're not familiar with cron jobs. You can find more info about it, and detailed instructions on how to set it up in our FAQ section.

So, if you already read that, and still need some clarification here's some further info.

You copy only the URL from below a scheduled notification:

    7810032183.png

Then, go to Tools/Cron Events, and click on the "Cron Schedules" tab. In it, add a 15-minute interval:

    2487877415.png

Then go back to the "Cron Events" tab and click on "Add new":

    9085918175.png

Below it, select the "PHP Cron event" radio button, and add the URL you copied from Amelia/Notifications in this form:

    file_get_contents("yourURL");
    2095163400.png

Below it add the name and set it to run a few minutes in the future, using the provided time format. So, if you're adding the cron event at 12:45 (local, current time), set it to run at 12:50; and then select the schedule you previously selected:

    7642938415.png

Click on Add Event, and that's it.

The cron runs every 15 minutes and checks if there's an email to be sent. So, in Amelia Notifications, your scheduled notifications are set to run every day at a certain time. If you set that time to be 15:00 (for example), the emails will be sent when the cron runs after that time.

For example, there's an appointment booked for tomorrow, and it's currently 14:44 - the cron runs, but since it's not yet 15:00, it doesn't send anything. It runs again after 15 minutes, so at 14:59, but there are still no emails flagged by Amelia, so it doesn't send anything. Then it runs again at 15:14 and it sees there's an email that should've been sent at 15:00, so it sends the email. It will only send emails when Amelia sees an appointment scheduled for the next day.

    I hope that helps.

Let me know how it goes, and if you have any questions.smile.png Thanks

    Kind Regards,

Thank you for the thorough response.  Just to clarify - in this instance, will the %customer_full_name% placeholder send the names of all attendees, and not just a single one?

  • Kevin Reiterer replied

that is a very interesting topic. As we are looking for a similar solution. We would also like to make our employees or better to say freelance trainers to see their clients booked for an event + if they have used a coupon code or need to pay on site.

    Hello, The  and Kevin

My sincere apologies for this waiting time.

    -

I have done some testing for this, to be honest with you, because you guys gave me interesting ideas for this use-case , so I wanted to see what's the best , or the closest we can get to what you need, as a list of attendees, with payment type shown, and if they used a coupon or not.

It seems I am getting close to achieving it,  by adding this placeholder in Event notification for employees,

    %group_event_details%

This will allow you to add the details for each of the attendees that booked until that moment.

For now, I am just testing it as simple " Event Booked" automated notification,

but it will function the same way if we use cron for scheduled reminder.

    -

Currently I got this issue that the  %coupon_used%  placeholder won't ended if I place it inside the %group_event_details% placeholder, not sure why.

This is how it looks so far,   if  we set notification template like this , and added %group_event_details%

    2795552450.png

And the Group Event Details placeholder configured like this :

( I wrap it in a HTML paragraph, so it looks nicer when it stacks all the customer details together)

    6936479057.png

But, the coupon used placeholder won't work, for some reason.

    8420063110.png

I will escalate this issue with the %coupon_used%  with our 2nd level Team, and we will report back regarding that,  ( seems we maybe have a bug),

but in terms of customer list, I think we solved that part.smile.png

Let me know if you guys test this on your sites - and if it does the trick for you? ( apart from the coupon bit)

    Thank you

    Kind Regards,

    Dear Milos,

Thank you for your feedback this sounds like a great option and solution for our issue.

I am awaiting your feedback regarding the coupon codes as this is very crucial for our customers. They are receiving their personal codes when they purchase a block of 10. Therefore, we need the teachers being able to see if the coupon code was used.

I am excitingly waiting your feedback and further information for the coupon issue.

Thank you for your help and have a great day

    Kevin

    Hi, Kevin

My apologies once again for this waiting time.

We got delayed with our QA testing Team, so i wish to run some more tests, and then we will confirm with certainty if we have a definite bug with the coupons_used  placeholder.

So far, it seems that it is the case, and if wew get final confirmation -

our devs will certainly do their best to fix it as soon as possible.

But, as i said - i just wish to be absolutely sure, so we will conduct further investigation, i expect to have an update for you at Monday.

    Thank you for your patience.

    Hi, Kevin

Apologies for all the waiting time.

Following up on the issue with the "coupon used" placeholder.

We have flagged a bug for the issue of %coupon_used% placeholder not properly working as part of "Group event details" for the employee notifications.

The developers will do their best to make a fix as soon as possible.

I hope they will implement a fix in one of the upcoming updates, but i can't guarantee an exact ETA.

    You can certainly follow our changeLog page if you'd like, where we state any changes/new features/bug fixes during updates;

and our newsletter, so you're informed about new features, bug fixes, freebies, etc.
