    I have customers that registered to one event and wants us to move them to a different event. How do we move them using the backoffice?

    Hi, Amos 

    Thanks for reaching out to us.

    Unfortunately, we can not basically go into an Event booking of a customer,  and just change the Event of the booking;

    you would have to delete them as attendee from this Event; 

    then they will get an email notification that they were removed from that event;

    then go to the other Event, and add them as attendees there -

    Then they will get another email notification that they are now booked for the "different Event".smile.png

    Hi, Amos 

    I was not aware that you need all of this to go through WooCommerce, and to change the customer's Event booking from the back-end, that changes things.

    That could be tricky, because from the back-end, we can not make bookings for WooCommerce ( at least as far as i am aware);

    so i am not sure what will be the best way to handle this use-case scenario.

    I will get some help from our senior 2nd level Team - as soon as they advise, we will report back.

    reading your documentation, it looks like the client has the ability to change their reservation.

    is there a way for me as the admin to utilize the same interface?

    Sorry for the delay

    1.

    - We will still confirm what would happen exactly with the Woo order in the previous use-case that you asked, if we remove atendee from Event 1 ,  and add him to Event 2 from back-end;

    2.

    Regarding your question for rescheduling :

    When customers use their Customer Panel on front-end, they can easily reschedule appointments from services.

    Even if it's a Group appointment > if there is free space/capacity left for a certain time slot > they can just pick it, and they will be added as additional customer to this appointment.

    -

    But on the back-end it's different, if you wish to reschedule for a customer, if it's a group appointment that already has customers in the time slot;  you would have to edit that appointment, and add this customer into it;

    rather than editing his appointment, and picking another time.

    So, if you do this, just to change time slot of customer's appointment, it must be a completely free time slot :

    Otherwise - if it's already a Group appointment >  then you have to cancel this one;   and go to the other Group appointment,  then add the customer there:

    But, this is for Services/Appointments.

    When we work with Events > it can not be rescheduled, even by customers on front-end.

    I just made a test, here is my customer on his panel - looking at tomorrows Event > he can only cancel it > then book a new Event :

    Same as the back-end, as the customers are unable to reschedule Events > on the back-end, we can also only cancel the first Event > and book them for a new one.

    Hi, Amos

    Just following up regarding your question "How would that work with the order number in WooCommerce"  in situations when we cancel Event 1 , and add customer to Event 2 ;

    Well, basically - every booking creates a unique WooCommerce order number in the database.  ( we are not able to "transfer" the order between Events - each booking has its own)

    -

    The Woo orders will behave the way how you set them up in the Payments settings.

      If the Event is already paid for - the Woo order status will remain the same as it was during the moment of booking.

    - In case if you need to refund them at any point > you would have to manually refund them ( we don't have any auto -refund feature yet);

    - or you could simply keep the funds that the customer already paid for Event 1 ( if the prices are the same )  ,   and once you cancel Event 1 for them > add them as atendee in Event 2 ( when we book from back-end, Amelia won't even create a Woo order, it will just be recorded in Amelia as on-site)

    Only if the customer books Event 2 from front-end > then a new Woo order gets created ( it treats it as completely new booking);

    -

    So as i mentioned, the main note is, from the back-end, currently we are unable to create Woo orders > Amelia would only create it as "on-site payment" booking > and it will not get stored in WooCommerce at all.

    Thank you. I have to admit, very disappointing as it seems that the functionality exists, just that only the student can do it and not an admin which is very strange.

    I really hope you fix this required basic functionality asap.

    Hi, Amos 

    I can understand your disappointment - and we see that this is an important feature for you.

    Just to clarify and to elaborate a bit more > a student in the Customer Panel can only cancel the Event > then they can book the new Event;

    from the back-end, Admin/employee/manager  can cancel the Event, but  at the moment we are not able to make WooCommerce payments from the WordPress back-end.

    This is the functionality of WordPress and WooCommerce combined with Amelia.

    In Amelia we don't store any card details from users - for security reasons,  

    so from the back-end, nobody is able to perform a card payment, we can only book as  "on-site".

    And also, Amelia does not handle any payments - when we integrate WooCommerce,  

    then WooCommerce completely takes over all the payment functionality.

    But WooCommerce payment can not be triggered from WordPress back-end at the moment,

     you can only place the Cart/Checkout pages on the front-end,  this is why customers are able to pay through WooCommerce at the front-end.

    So at the moment, our developers are not able to bypass this, since the limitation is coming from the way how payment integrations work - 

    but we understand that for certain use-case scenarios this is important to achieve,  so they will do their absolute best to create a solution in the future that would allow to create WooCommerce orders from WP back-end.
