I have 3 services which have each been set as a 30 min appointment. The actual service takes say 20 minutes but the 30mins builds in the buffer and this works well for the weekday appointments.
We would like to however make the service duration 20 minute for the same service on a Saturday only, because it's a shorter working day and we can fit more people into appointments during the day based on 20 mins.
To break it down I need to achieve:
service A: 20 mins duration with 10mins buffer on weekday
service A: 20 mins duration total - back to back with no buffer
Also, if I change any settings how does this impact existing bookings already in the calendar - do they get changed at all in anyway?
The same service can't be configured differently based on the day of the week. One service is one service, and it can't be changed.
You'd need to create another service (it can have the same name), just without the buffer time. When you do that, go to your employee's profile, and under Work Hours tab, configure his working hours so he works only on that second service on Saturday. Business days would also have to be configured, so he works only on the initial service during those.
1) If I make changes to an existing service will that impact future appointments already scheduled? As long as the start times aren't unaffected any changes wouldn’t matter so much but could you confirm what we should expect?
2) Also I can create a saturday only service but do i need to change ALL the schedule slots to 10 mins as I have some 20 min services and some 30 mins?
3 )In your opinion whats the best way to set this up? Should I keep the 30 min appointments weekday with no buffer (as 30 mins includes a buffer) AND then allow 20 mins appointments on saturday only OR should I be using a 20min appt for all services and use the time buffer on a weekday only.
4) Is it possible to take a back up of the appointments in case any changes do mess things up? I can't disrupt the ability for appointments to be made or reviewed by employees
1. No, if you change the duration of the service, existing appointments will not be affected.
2. To set a buffer time to 10 minutes, your Default Time Slot step in Amelia's General settings needs to be set to 10 minutes (or less - 5 or 1 minute). So, if you haven't already - you can change the Default time slot step's duration, and it won't affect other services.
3. It's entirely up to you. It's less work to keep the current setup for your existing appointments, and only modify the new one, but you can go either way. I'd configure only the new service, keeping the current setup for others.
4. Unfortunately, no. The only way to do that would be to create a backup of your website prior to making these changes, and if by any chance it affects the current appointments (it shouldn't), you could restore the website to an earlier state.
