    Hi,

    I'm real estate agent and, of course I'm organizing visits.

    Amelia would be very useful to help me to manage the appointments with candidates but I don't find how to parameter my needs...

    I have few location (buildings, houses, appartments, ...) and I have to plan when I will be there and "available" to have an appointment with someone.

    So for Location A, the visits would be organize each

    • Thursday between 4 & 6pm
    • Saturday between 10 & 12am

    Each appointment for 20 minutes.

    How could I define a "time range" for a service or for a location ?

    The only way I've found is to create an event with each time slot.

    So for location A, 4 weeks visits each Thursday btw 4 & 6 pm + each Saturday btw 10 & 12 am, 20 minutes per appointment...  It means an event with 48 time slots that I need to introduce manually... I hope there is an other way...

    Ok... It's embarassing... I've found also for this one ^^

    In Amelia -> Employee -> 3rd tab...
    By adding time range & location

    It doesn't solve entirely my problem...

    Because When I have to take care of the visits, I know in advance what's the plan.

    For exemple, I will have from the 01st of September till the 01st of October to organize visits each Wednesday and Friday for example. With Amelia, I can not prepare in advance my calendar then...

    Hello Jean-Marc

    Amelia is not designed to work as a time keeping schedule, but as a booking plugin for people who provide services on site, or multiple locations.

    One employee can be assigned only to one location at a time, so if you have 3 locations you need to create 3 employees.

    I am not entirely sure what you're trying to accomplish, so I can't provide much advice about this. It sounds like you wish to book your own appointments on weekly basis. Please explain in a bit more detail what the flow would be.

    Thanks for replying.
    I will try to be more understandable.

    I'm working in an office and I offer people to visit properties on behalf of the owner.
    It means my schedule looks like this :

    • Monday
      • 09-12h - Office (Location 0)
      • 13-17h - Visits (Location A)
      • 17-19h - Office (Location 0)
    • Tuesday
      • 09-17h - Office (Location 0)
      • 17-19h - Visits (Location B)
    • Wednesday
      • 09-11h - Visits (Location A)
      • 11-19h - Office (Location 0)
    • Thursday
      • 09-16h - Office (Location 0)
      • 16-19h - Visits (Location B)
    • Friday
      • 09-12h - Visits (Location C)
      • 12-19h - Office (Location 0)
    • Saturday
      • 10-12h - Visits (Location C)

    + From September 1 to October 1, I will have to organize visits each Monday & Tuesday 9-11h at location D.
    + From September 15 to October 15, I will have to organize visits each Monday & Wednesday 17-19h at location E.
    + The visits for Location A & B will stop the 10th of September

    Of course we are not yet in September, but I need to

    • I need to be able to manage my time by "reserving/blocking" these time slots
    • If today we are 19th of August and somebody would like to book a visit for the end of September, I have to be able to do it

    Is it more understandable for you ?

    That actually explains a lot, Jean-Marc, thanks!

    You have two options:

    1. You can add special days for your employee, and create working hours each Monday & Tuesday 9-11h at location D from September 1 to October 1.

    2. You can configure Google Calendar and enable "Remove Google Calendar Busy Slots" in Integrations settings, in Amelia. When you connect your employee to his Google Calendar, you can create a busy time slot in the Calendar, so that time slot is removed from Amelia's availability. However, you will not see a new appointment created in Amelia, the time slots will only be removed from your employee's schedule.

    1. I can not add the days. So it's not an option... Cfr. Attachment
    2. It doesn't work...
      1. I did what you recommended Cfr. Attachment
      2. My google calendar shows me availabilities for 16:20, 16:40, 17:40 Cfr. Attachment
        And yes, I checked about my availabilities with other agenda, and it's ok ;-)
      3. Amelia proposes me only 17:40... Cfr. Attachement

    Why can't you add special days? You need to save twice if you missed that by any chance.

    I'm quoting you because you clearly understand my request :

    So in the screenshot about special days, I can put 
    • the period of time (from 1st to 30th of September)
    • The time range (From 4 to 6pm)
    • And where can I put only the days ? (Only each Tuesday and Thursday)

    Or you mean, I need to add a record PER day ?  It means 8 records (as 2 days per week for 4 weeks)

    How it works if there is a conflict with the normal working hours recorded in the 3rd tab ?

    And, last question, how could I book "spontaneously" someone to go to visit a location without having to change the parameters.

    Example : I'm in the office and somebody interested in a house (so location X) would like to visit quickly. I'm checking my schedule and as I don't have anything urgent to do at the office, I would like to book it for in the next hours...  and in Amelia, my next hours are spend in my office.

    I could do it manually (directly in google agenda) of course but it's interesting to centralize the records in Amelia.

    Hi again Jean-Marc

    Right, sorry about that, you need to add special days per day, so manually each Monday and Tuesday, not in a range (that'd be great, though, if Amelia could do that - I'll forward it to our development team).

    Special days always override existing employee's hours, but they don't override Days Off. So, if your employee has 09 - 17:00 set as their default working hours, for all services, and you add a Special day for one day, and your employee works from 09 - 11:00 on one service, that will be taken into account - the special day.

    If you have free hours, and you can create an appointment, you can do it from Appointments section in back-end. So, as an administrator, you can create an appointment (but you can only choose default durations of your services) and choose not to notify your customer in the modal that comes up. Or you can add a special day for "today", where you will not be working during that time.

    Easiest, and quickest way would be creating a busy event in Google Calendar, though.
