We'd like to stop taking bookings on some days (because we receive 80% of bookings over the phone, not on Amelia). But when we turn off the employees hours, it cancels the current bookings? I'm not sure how to stop it from taking any more bookings without cancelling. Thanks!
When you remove employees' work hours, that should affect the appointments booked until that moment. You can check if Special days or Days off options would be convenient for your use case, the Special days override the usual employees' work hours, and the Days off are for days when there shouldn't be any bookings for that employee in Amelia.
Hi Marija, thanks for the reply! I've tried both options in the past and unfortunately neither works for the situation. Essentially, we have a lot of bookings for Thursday, and I'd like to stop taking bookings for everything. If I modify the employees hours, or use a special day, then all current bookings will be cancelled! Is there any way to simply prevent any additional bookings being taken for this Thursday without cancelling (or notifying) current bookings?
For example, just making the date blank from the front end would be great. If users cannot book any longer for Thursday that would be amazing.
I'd just like to add that almost every other feature of Amelia has been excellent. It's just this one issue is causing a little stress. We're at capacity and we can't take any more bookings in whatsoever. Thank you!
There isn't another way of changing the employees' work hours / the available time slots / but creating a Special day or a Day off in Amelia. But, when a Special day is created, the appoitnments that are booked until that moment, won't be cancelled, so I am not sure how exactly do you change this and the appointments to get cancelled.
There is one more way of blocking time slots for booking in Amelia - Google calendar synchronization. With it employees can connect to their Google calendars and when they have Busy events in their Google calendars these time slots can be blocked for booking in Amelia. You can read more about this feature and how it is setup here.
If you have any further questions or concerns feel free to ask,
Thanks Marija. I've tested a future date with appointments, and when I booked a 'day off' it didn't cancel the actual appointments - only deleted them from my calendar. No problem though, at least current customers won't be cancelled.
Appreciate your help!
It would be nice if the documentation was just updated a little to reflect this - or the wording changed slightly for 'days off'. Potentially having a 'hit maximum capacity' or something like that would be nice - technically it's not a day off. Thanks!
It is a day off if there are no appointments created until then. Any change you make in Amelia doesn't affect the already booked appointments, but the appointments that will be booked from that moment. This applies to changing work hours, appointments status, services, etc. so most of the things you change apply to all new appointments that will be booked from that moment and it doesn't affect the following appointments.
For changing the time slots on some days the Special days feature is used mostly, they override the usual work hours for the dates chosen, and the Days off is used when employees shouldn't have any appointments. You used it in some specific use case, that isn't common. This was helpful for you because there isn't a possibility to set a limit to the number of appointments for some period of time in Amelia with its current built-in features. You can only define the available time slots for booking by setting up the employees' work hours.
If you have any other questions or concerns feel free to open a new ticket and we will gladly help.
