I have a problem Services and Capacity. My business involves providing lasertag gaming equipment to various paintball fields in my region. I don't have enough equipment to serve all these fields on the same day. I have identified what my capacity is for the Service I offer and if I attempt to exceed that capcity at the same Location, the date is shown as unavailable. However, if I select another location using the same service, it allows the quantity of both appointments on the same day and time to exceed my Service's Capacity. It appears the Capacity for a Service is being allocated to each Location. I need to have the Capacity as defined for the Service to be shared amongst my various Locations. Is that possible?
Another update. After removing Locations from the issue, I discovered the problem exists when just using Employees and Services as well. It appears the full Service Capacity is made available to any number of Employees they are paired with. I really need there to be a way to define a real maximum Capacity that all appointments on a given day pull from.
The Maximum capacity set is set for one service so one appointment. It can't be set to more services, so there isn't a possibility to set a maximum capacity per location or for all services at once. When you have one service and more employees assigned to it, number of appointments that can be booked at the same time would be the same as the number of employees, and each of these appointments can have a max capacity (number of customers) you set for each service.
So, for your use case, you would need to have one employee assigned to this service, or lower the max capacity for the service, max to be calculated when the capacity is added for each employee you have assigned to this service.
There is also one option in the database - when one employee has an appointment, that time slot to be blocked to all the other employees created, but that would apply to all services and employees, you can't choose some services and some employees.
If you have any further questions feel free to ask.
Thank you Marija. So, if I understand correctly, it is not possible to set a maximum capacity for a service and then have any appointments made for a given day/time subtract against that capacity? And, it is also not possible to restrict a particular service to one appointment per day, thus blocking conflicting appointments for the same service by another employee?
I'm trying to think of a way to deal with this situation were we have a pool of rental equipment that is being made available to multiple locations for reservation. The one employee per service approach would make us artificially limit the max capacity per service.
The maximum capacity for the service is for one appointment, and you can have as many appointments for one time slot as the number of employees assigned to that service. So each appointment is assigned to one employee and the max capacity of customers that can book that appointment is set by the max capacity of the service. So if you have one employee assigned to one service the max capacity will be the limit of customers booked at one time (since there could be only one appointment at a time).
It isn't possible to restrict a particular service to one appointment per day - only if you set the employees' work hours to be only for one appointment per day. If you have a duration of 2 hours for the service the employees' work hours should be with duration 2 hours.
If you have any further questions feel free to ask.
I would like to set a capacity for each location. Is there a solution to be able to do this?
I would like to know more about this option you indicated in response:
"There is also one option in the database - when one employee has an appointment, that time slot to be blocked to all the other employees created, but that would apply to all services and employees, you can't choose some services and some employees . "
There isn't a possibility to set a capacity per location in Amelia , unfortunately. Capacity is set per service/employee only.
Regarding the option in the database, you need to edit one table in the database to achieve this - block all employees when one of them is booked and if you want to do that please open a ticket for this and we will send you instructions on how to do it.
If you have any other questions or concerns feel free to open a new ticket and we will gladly help out.
The option would apply to all employees and services, so if one is booked all the other employees/services would be blocked for booking too at that time. So, as I can see, this wouldn't be convenient for your use case.
If you have any further questions or concerns with Amelia please open a new ticket and we will gladly help out, because this is another user's ticket, and they are getting unnecessary emails, communication from Ticksy, etc. Thank you!

I forgot to mention, this problem occurs even if when the Appointment setting "Allow booking above maximum capacity" is disabled.

Hello Mark Trimble,

Hi Marija,
we have some courses that are held in different classrooms but in the same school and at the same time.
Does the option in the database take places into account or block the time slot for all classrooms?
It is important for us to differentiate this rule in order to be able to use the places as different classrooms in the same time slot.
thank you
