Rescheduling as a client

I do not understand how clients reschedule their appointments.  I want there to be a link in their appointment approved email that sends them to where they need to go to reschedule their appointment.

I see the instructions that say clients can "reschedule their single appointments by drag and drop or Edit option in their Calendar."  But I don't know how they access their Calendar, what link do I send them so they can do that?

    Hello Jesi,

The part from the documentation that you copied is referring to rescheduling an appointment in the back-end (in WordPress), so the customers should have Amelia Customer role in WordPress settings and then you need to go to Amelia -> Settings -> Roles Settings and enable the option “Allow customers to reschedule their own appointments”. Then they can log in and edit their appointments by drag and drop the appointment to a new date/time or clicking on Edit in their calendar (it is not possible to edit appointments in the view appointments list, just in their calendar).

It is not possible to send a link for rescheduling the appointment in the notification mail. You can only send a link for cancelling an appointment. You will find a placeholder for this in the Notifications section in Amelia (%appointment_cancel_url%) so you can insert it in the notification e-mails if you want for the customers to cancel their appointment through a link.

If you have any further questions or concerns don't hesitate to ask,

And when they log in to reschedule:

1 - There are some drop downs that, I feel, would be confusing for our clients, how can I hide them?

2 - There doesn't seem to be a way to indicate in the drag and drop system whether or not a spot is booked or, where they are allowed to place their appointment. For instance, if we only offer services at specific times, they should only be able to drag their appointment to a specific time, but right now it allows them to drag their appointment anywhere, disregarding the schedule.

    Hello Jesi,

There are no dropdowns, it is only a calendar in which they can take the appointment and drag it somewhere else, or when they hover an appointment they can click on edit and change it.

When they open their calendar they can drag the "appointment" and drop it to another time/date on the calendar. If they try dropping it in a time slot that is outside of the working hours of the employee they will not be able to do that and they will see an Error telling them this information. Also, the time slots that are busy/booked by other customers will be greyed out in the calendar and if the customer tries dropping their appointment to these time slots they will not be available to do that and they will get an error telling them that time slot is not available.

    Please see attachments (screenshots).

You can try this out if you want to - you can just create one dummy customer, make an appointment, give it an Amelia Customer role and login as this customer to see exactly what I am talking about.

    Hope this helps!

The drop downs are on the customer's appointment page, I apologize.

So there isn't a way to show someone what is available? We have a very specific time structure that the average client will have no clue about unless laid out specifically. And this is frustrating to a potential client to just have to guess where they can slide their appointment to.

Also, on the customer's appointment page is a link that says, need help, and it takes you to the wp Amelia website.

Hi there, I'm not sure if this is the right place to ask a question but my version of Amelia wont allow a booking past 5:30pm any day even though my schedule says to finish at 8:30pm.

    Hello Jesi,

The time slots that are not available will be greyed out in the calendar.

Regarding the Need help?, yes, this is made to take customers to Amelia documentation, the part where Calendar in Amelia is explained in details with screenshots/videos so if the customers have some concerns they can read everything they need to know there.

If you have any further questions or concerns feel free to ask,

    Hello Jeremy,

Could you please open a new ticket in Amelia category and we will gladly help with your issue!

    Thanks!

  • Jesi Cason replied

    Hi There,

We would like to remove the need help?, as our clients can contact us instead. It also bounces away from the website which is not ideal.

    Hello Jesi,

We have had some requests for hiding some parts but only on the front-end, and since this option Need help? is in the back-end, besides the custom CSS, you would need to install a plugin for custom CSS in the WordPress back-end. There are a lot of them out there, so you can find and try out one that would suit your needs. Also, there is one article for doing this, you can check it out following this link

This is the custom CSS for hiding this button:

    #am-calendar > div.el-col.el-col-24.el-col-md-6 > a {display: none;}

    Hope this helps!
